Connecting a Cost source with a Maintenance Organization

Purpose: The purpose of this exercise is to familiarize you how to connect a cost source with a maintenance organization.

  1. Open the Cost Details Basic Data window and query for your company.
  2. Create a new cost source in the Cost Source tab if required and add an overhead rate. You can also define what controls the cost source in the Cost Source Indicator Definition tab.
  3. Click on the Cost Source Indicators/Maintenance Organization tab and click New.
  4. Enter the Site, Maintenance Organization, and a cost source. You can use the List of Values to select values for these as well.
  5. Click Save.

General exercise for Setting up Cost Sources

Enabling Employee Labor Cost

Purpose: The purpose of this exercise is to show you how to enable the Employee Labor cost for your company. This will allow the labor hourly rate to be calculated based on the salary information, or the standard cost information in IFS/Human Resources.

  1. Open the Company Details window and click on the General tab.
  2. Query for your company and select the Use Employee Labor Cost check box.
  3. Click Save.

Purpose: The purpose of this lesson is to show you how to report overheads to Work Order Labor.

Reporting Work Order Labor with Overheads

  1. Open the Project Navigator window populated with your project and click on the activity to which you have connected the work order. Take note of the Planned values in the Activity tab.
  2. Open the Prepare Work Order window, populated with the work order which is connected to the project activity.
  3. Create a new line in the Operations tab and enter an operation number, description and planned hours.
  4. Observe that the Planned cost related to this operation will be updated in the Activity tab along with the planned hours. The cost will be categorized as the planned cost and the cost from the cost source connected to the maintenance organization.  These will be updated to the activity by the relevant cost elements. Verify that the values update the correct cost elements, based on how you set up the relevant posting control rules and cost element mappings.
  5. You can see the how the cost is reported from each object connection in the Connections tab. Note that the planned cost will be updated by the Work Order object.
  6. Right click on the work order, point to the work order status menu option and select the Release menu option to release the work order.
  7. Note that the Committed cost and the hours will be updated to the activity.
  8. Open the Report In Work Order window, query for the work order you have been working with and click the Time Report tab. Report time for the relevant employee and save the details.
  9. Observe that the reported hours will get updated as Used and Actual, while the Used cost will get updated according to the reported hours as well.
  10. Open the Transfer Maintenance Time Transactions window. Here you can transfer the time transactions that have been previously authorized and create the vouchers related to your site.
  11. Observe that the Project Navigator/Connections tab will be updated with Voucher Row lines that will now report the Used cost.
  12. Now you need to update the General Ledger for the Actual cost to be updated to the activity. Open the Voucher Entry window and query for your vouchers. Right click on the Voucher Entry window and select the Instant Update General Ledger menu option. Observe that Actual cost will be updated in the Project Navigator/Activity tab.
  13. Observe that in the Project Navigator/Connections tab the Voucher Row lines will be replaced by General Ledger Voucher Row, which will update Used cost as well as Actual cost.
