Basic Data Setup
Project Cost Element
Purpose: The purpose of this exercise is to show you how
to create
project cost elements and connect them to accounts.

- Create project cost elements which can be connected to
the accounts as derived by posting control rules. The posting control rules
relevant to working with work orders are shown in the following table.
- Connect the relevant cost elements to the relevant
accounts. If your company has been created based on the STD company template
and no changes have been done to the default posting control rules or
mappings of cost elements to accounts, you will see the following mapping:

Purpose: The purpose of this
exercise is to familiarize you with the data that must be in place before you
can perform the exercises below.
- Verify that the work order object type is allowed
to be manually connected to an activity for your project.

- Create a work order. Prepare and plan the work order by
specifying material, tools and facilities, and operations requirements.

Purpose: The purpose of this exercise
is to connect and register work orders to an activity.

Connecting and Registering Work Orders
Note: Perform the following steps to manually
connect an existing work order to an activity from the
Prepare Work Order
window.
- Open the
Prepare Work Order window.
- Query for your work order which you created in the
Required Data section above.
- Right-click, point to Project Connection and
then click Connect to Activity.
- In the window that opens, select the activity to
which your work order should be connected by using the List of Values in the
different fields (The Program ID, Project ID, Subproject ID,
Activity ID, or Activity Sequence fields.)
- Click OK to save your changes.
- On the
Prepare Work Order/General tab,
note that Project Connected check box has been selected.
- To quickly access the activity information for the
work order's connected activity, right-click, point to Project Connection
and click Activity Info to open the
Activity
window. Alternatively click Project Connection Details to view a
dialog showing the most important information about the connected activity.
- Open the
Project
Navigator window.
(Alternatively, open the
Activitywindow.)
- Query for your project.
- In the Navigator, select the activity to which you
have connected the work order. (Alternatively, in the
Activity
window, select the desired activity in the Project list.)
- Click the Connections tab.
- Note that your work order is shown in the upper table
on the Connections tab. Select this row in the upper table to
view its planned values in the lower table.
- Note that the System Connection check box is
not selected as the work order was manually connected.
- In the
Project Navigator window, click the
Work Orders/Active Work Orders tab.
- Note that your work order is listed in this table.
Note: A work order can also be connected to an
activity by performing the following steps on the Project
Navigator/Connections
or Activity/Connections tab.
- Open the
Project Navigator
window. (Alternatively, open the
Activitywindow.)
- Query for your project.
- In the Navigator, select the activity to which you
want to connect your work order. (Alternatively, in the
Activity
window, select the desired activity in the Project list.)
- Click the Connections tab.
- Right-click and then click Connect/Disconnect
Object.
- In the window that appears, click the
Active
Separate Work Order tab.
- Click Populate. All the work orders that are
not currently connected to any activity and also those which are manually
connected to this activity are listed.
- Connect your work order by selecting the
Connection check box. Click OK to save your changes.
- Note that your work order is shown in the upper table
on the Connections tab. Select this row in the upper table to
view its planned values in the lower table.
- Note that the System Connection check box is
not selected as the work order was manually connected.
Note: A work order can also be registered and
connected directly to an activity from the
Project
Navigator window.
- Open the
Project Navigator
window. (Alternatively, open the
Activitywindow.)
- Query for your project.
- In the Navigator, select the activity to which you
want to register and connect your work order. (Alternatively, in the
Activity window, select the desired activity in the Project
list.)
- Click the
Work Orders tab, and then the
Active Work Orders tab.
- Create a new record.
- Enter the necessary data to create a work order, such
as the maintenance organization and a directive.
- Save your changes.
- Repeat steps 11-13 above, and observe that this work
order is also considered to be manually connected to the activity.
Note: Perform the following steps to view the
effect on the activity to which you have connected the work orders.
- For your work order, note the values in
the Planned Cost column of the Prepare Work Order/Budget
tab. Note the number of planned operation hours.
- In the
Project
Navigator window, click the
Activity tab.
(Alternatively in the
Activity window, click the
General tab.)
- Verify that Connected Objects is selected
in the Planned Cost Driver list.
- On the
Cost
and Hours tabs, note that the activity planned values are updated
with the planned values from your work order. (Alternatively, this
information is shown in the
Activity window as well.)
- Verify that the planned costs and hours update the correct cost
elements, based on how the relevant Posting Control rules and the mapping of
cost elements to accounts are set up in the Basic Data section of this
exercise.
- To disconnect a work order, carry out steps 19-22.
Select your work order to be disconnected by clearing the Connection check
box. Click OK to save your changes.
