Basic Data Setup

Safety Inspection Questions and Templates

Purpose: The purpose of this exercise is to set up the basic data required for running this particular functionality.

Define Company Locations

Purpose: The purpose of this exercise is to define the locations in your companies.

Windows:

  1. Organize your companies in to the following locations.
    Company Location ID
    10 OFFICE
    10 WAREHOUSE
    20 OFFICE
    20 WAREHOUSE

Fire Extinguishers at Company Location

Purpose: The purpose of this exercise is to set up the basic data required for running this particular functionality.

Windows:
Fire Safety

  1. Open the Fire Safety/Fire Extinguisher tab.
  2. Ensure that fire extinguishers are registered for the company locations defined in the previous procedure.

Safety Actions and Templates

Purpose: The purpose of this exercise is to set up the basic data required for running this particular functionality.

  1. Create the following safety actions and templates.

    Employee Training - Emergency procedures in main warehouse
    Fire Actions Check all emergency exists in main warehouse
    Check all fire extinguishers in main warehouse
    Check all dangerous materials in main warehouse
    N/A First aid training - Use of AED

General exercise for creating safety actions.

Main Exercise

Purpose: The purpose of this lesson is to register details of a safety inspection done in your company.

Windows:
Safety Inspection

Define General Safety Inspection

  1. Open the Safety Inspection window and create a new record.
  2. In the Safety Inspection Type field, enter Dangerous Material. Select value from the list.
  3. Note that your default company (10) is entered in the Company ID field.
  4. Now, you can select the location in company 10 for which you want to do the inspection. Enter location WAREHOUSE in the Location ID field. Select value from the list.
  5. In the Safety Inspection Template field, enter Dangerous Material Inspection. Select the value from the list.
  6. Save the information.
  7. Now, in the Safety Inspection Question table, all the safety questions from the safety inspection template you specified in step 5 will be listed.

    Enter safety questions manually;
     
  8. Create a new record in the Safety Inspection Question table to add a new question which does not exit in the template. In the Question field, enter a question using the list. All the predefined safety inspection questions will be available in this list.
    Note: In this step, you can select any other safety question which may also be connected to a different safety inspection template or not included to any safety inspection template.
  9. Save the information.

Define Fire Safety Inspection

  1. Open the Safety Inspection window and create a new record.
  2. In the Safety Inspection Type field, enter FIRE. Select the value from the list. Note that this is a system defined safety inspection type.
  3. Your default company (10) is entered in the Company ID field.
  4. Now, you can select the location in company 10 for which you want to do the inspection. Enter location WAREHOUSE in the Location ID field. Select value from the list.
  5. In the Safety Inspection Template field, enter Fire Audit as the template. You can select the value from the list. Note that the two safety templates (Safety Procedures - Basic and Fire Audit) connected to the inspection type FIRE in the basic data are available in the list.
  6. Save the information.
  7. Now, in the Safety Inspection Question table, all the safety questions from the safety inspection template you specified in step 5 will be listed.

    To enter safety questions manually;
     
  8. Create a new record in the Safety Inspection Question table to add a new question which does not exit in the template. In the Question field, enter a question using the list. All the predefined safety inspection questions will be available in this list.
    Note: In this step, you can select any other safety question which may also be connected to a different safety inspection template or not included to any safety inspection template.
  9. Save the information.

    Check fire extinguishers;
     
  10. Right-click and click Fire Extinguisher Details to open the Fire Extinguisher Details window.
  11. You can view more detailed information of the fire extinguishers in the Fire Safety/Fire Extinguisher tab.
  12. Open this tab and select a fire extinguisher record.
  13. In the below pane, you can view the details of the safety inspection which checked this fire extinguisher.

Answer Safety Inspection Questionnaire

  1. Open the Safety Inspection window and select the safety inspection you created in the previous procedure.
  2. Go to the Answer field for a question in the Safety Inspection Question table.
  3. Enter a suitable answer for the question. Note that the answer options are predefined, therefore, you can select the necessary answer from the list.
  4. Repeat this step for all the questions.
  5. Save the information.

Create Action Plan for Safety Inspection

  1. Open the Safety Inspection window and select the safety inspection you created in the first procedure.
  2. Go to the Actions table, right-click and click Get Actions from Template to open the Select Safety Action Template dialog box.
  3. Select the Safety Training Actions template using the list and click OK.
  4. The questions defined for the Safety Training Actions template in the basic data will be listed in the Actions table.
  5. Now, open the Select Safety Action Template dialog box again and select the Fire Actions template. Click OK.
  6. The safety actions defined for the Fire Actions template will also be added to the list of actions.

    To enter safety actions manually;
     
  7. Now, create a new record in the Actions table and enter a new safety action which does not exist in the templates. Select a predefined safety action using the list or enter a new action in the Safety Action field.
  8. For all the safety actions, you can modify the date of targeted completion, the priority of the action etc. in the relevant fields.
  9. Save the information. Note that the safety actions are saved with Planned status.
  10. When the action is completed, select the action, right-click and click Complete. The status of the action will change to Completed in the Status field.
