Basic Data Setup

Options for creating Basic Data

Windows:

To set up the basic data required for this exercise, you can do one of the following:

If you use the second option, make sure that the user you select is connected to a default company, default site, maintenance organization (inclusive of the maximum load level), and a craft with the values given below.

Define Maintenance Basic Data

Purpose: The purpose of this exercise is to set up the general basic data required for this function.

  1. Create a new maintenance organization. General exercise for Maintenance Organization   
  2. Create a new employee. Link a maintenance organization to the employee. General exercise for Enter and Link Employee to Maintenance Organization           
  3. Create a new craft. General exercise for Crafts   
  4. Link an employee to a craft. General exercise for Link Employee to Craft       
  5. Next, create a new tool and facility type. General exercise for Tools and Facilities Type   
  6. Create a new tool and facility. General exercise for Tools and Facilities   
  7. Create a new connection to the tools and facilities. Set the maximum work load to 100%. General exercise for Connect Tools and Facilities  

Set up a Maintenance Employee in IFS Human Resources

Purpose: The purpose of this exercise is to set up a maintenance employee in IFS Human Resources. You can use this employee in place of the predefined users to perform a search when IFS Human Resources is installed.

  1. Set up a maintenance employee in IFS Human Resources.

Enter Operation lines and Tool and Facility lines in PM actions and work orders

Purpose: The purpose of this exercise is to set up operation and tool and facility lines in PM actions and work orders.

  1. Create a work order and or a Separate PM action.
  2. Enter Operation lines and Tool and Facility lines in PM actions and work orders.
  3. For work orders, employees should be allocated to the operation line (either single or multiple allocations).

Main Exercise

Purpose: The purpose of this lesson is to define search criteria in order view details in the Resource Allocation Gantt window and to customize the view.

Define Search Criteria

  1. Open the Resource Allocation Gantt window.
  2. Press F3. The Search Resource dialog box appears.
  3. The default site of the user will be displayed in the Site field. Click List if you want to change the value.
  4. Specify values for the following fields based on your requirement. Click List to select the value where applicable.

    Note: You can use the Frame Settings area to define the resolution of the graph, i.e., whether you want to view the details on the graph on an hourly, weekly or daily basis and the time range.

Search for work orders and PM actions

  1. Once you have performed the search above click Query, located near the Show Filter check box.
  2. Enter the relevant information and click OK.

Filter Details

Note: Once the details are displayed you can further customize the view by filtering the results from the search.

  1. To filter details in the 1st graph, specify values in one or more of the following fields: Maint. Org., Resource Type, Craft and Tool/Facility Type. Furthermore you can select one or more of the following check boxes: Corrective, Preventive, Planned, and Route.
  2. To filter the details of the 2nd graph specify details in one or more of the following fields: Maint. Org., Craft and Resource Type.

Re-plan, Reschedule and Allocate Resources

To re-plan and reschedule:

  1. Select a horizontal bar (corresponding to the resource you have selected) from the first graph.
  2. Drag and drop to the required timeslot to move the activity through time.
  3. Resize the bar if you want to change the duration of the activity. Alternatively double-click on the bar, enter the required dates in the dialog box that appears and click OK.
  4. Save the information (F12).

To allocate:

  1. Important step: Select Not Allocated in the Show Work list in the second sub window.
  2. Select a bar (corresponding to the work order or PM action you created) from the second graph.
  3. Drag and drop the bar to a timeslot against the relevant resource.
  4. Enter the hours that should be allocated to the resource in the Hours To Be Allocated dialog box and click Add.
  5. Save the information (F12).

At the end of the steps verify that the changes made in the Resource Allocation Gantt is reflected in the applicable window (Prepare Work Order, Report In Route, Separate PM Action).
