To set up the basic data required for this exercise, you can do one of the following:

If you use the second option, please make sure that the user you select is connected to a default company, default site, maintenance organization (inclusive of the maximum load level), and craft with the values given below.

Set up a Maintenance Employee in IFS Human Resources

Purpose: The purpose of this exercise is to set up a maintenance employee in IFS Human Resources. You can use this employee in place of the predefined users, to perform a search when IFS Human Resources is installed.

Main Exercise

Purpose: The purpose of this lesson is to learn how to perform a combined search. A combined search can include several resources of the same resource type or resources of different resource types.

Windows:

Free Time Search

The Free Time Search window can be accessed from many places depending on your requirement.

Search for a Combination of Resources

  1. Open the Prepare Work Order window and create a new work order.
  2. Right-click on the Prepare Work Order window and then click Free Time Search. The Free Time Search window opens.

Note: Observe that since the search was invoked from the Prepare Work Order window, the site and the maintenance organization is retrieved automatically. The same applies to the Earliest Date/Time and Latest Date/Time fields (which corresponds to the Planned Start and Planned Finish dates on the Prepare Work Order/Prepare tab respectively). If these dates are not present on the Prepare Work Order/Prepare tab, the system date is displayed by default. The Employee resource type is displayed by default, regardless of from where the search is invoked. You can change the resource type as required. 

  1. Change the values in the Earliest Date/Time and Latest Date/Time fields, if required.
  2. Enter 2 as the execution time. The time entered must be within the defined dates.
  3. Enter a value in the Craft Group, Craft, or Employee field. You can even enter a combination of values. 
  4. Select the Exclude Schedule check box if the employee is not connected to IFS Human Resources.
  5. Click Add to Row.
  6. Repeat steps 4 to 7 as required. 

Note: To enter tools and facilities, replace the Employee resource type with Tools and Facilities, and for the 5th step, enter values in the Tool and Facility Type or Tool and Facility ID field (you can combine the values as for the employees). 

  1. Once you have defined the correct criteria, click Search.
  2. On the Free Time Search/Results tab, select a result line, right-click and then click one of the following options. 

Search for Resources in the Order They are Required

  1. Query for the work order created in the previous exercise.
  2. Enter the following values in the relevant fields, and select the Exclude Schedule check box if the employee is not connected to IFS Human Resources. Click Add Row after each entry. Make sure the order number follows the correct sequence.

  1. Once the values are entered, click Search.
  2. On the Free Time Search/Results tab, select a result line, right-click and then click one of the following options. 

Search for Resources based on Standard Jobs

  1. Open the Prepare Work Order window and create a new work order or query for the one you created in the previous exercise.
  2. Right-click on the Prepare Work Order window and then click Free Time Search. The Free Time Search window opens.

Note: Observe that since the search was invoked from the Prepare Work Order window, the site and the maintenance organization is retrieved automatically. The same applies to the Earliest Date/Time and Latest Date/Time fields (which corresponds to the Planned Start and Planned Finish dates on the Prepare Work Order/Prepare tab respectively). If these dates are not present on the Prepare Work Order/Prepare tab, the system date is displayed by default. The Employee resource type is displayed by default, regardless of from where the search is invoked. You can change the resource type as required. 

  1. Change the values in the Earliest Date/Time and Latest Date/Time fields, if required.
  2. Enter 4 as the execution time. The time entered must be within the defined dates and times.
  3. Right-click on the header of the Free Time Search window and then click Connect Standard Job. The Connect Standard Jobs dialog box opens.
  4. Select one or more standard jobs and click OK. The resources included in the standard job will automatically be saved as the search criteria on the Free Time Search/Search Parameters tab.
  5. Assign order numbers according to your requirement.
  6. Once you have the correct criteria defined, click Search.
  7. On the Free Time Search/Results tab, select a result line, right-click and then click one of the following options.
