Basic Data Setup

Work Instruction Type

Purpose: The purpose of this exercise is to show you how to set up a work instruction type in the system.

Windows:
Sub Contract Basic Data/Work Instruction Type

  1. Enter the work instruction type that should be associated with your sub contract, if it has not already been created.
  2. The work instruction type ID to use is XXDET, where XX are your initials. The description of the work instruction type is Details.

Output Type

Purpose: The purpose of this exercise is to show you how to set up an output type in the system.

Windows:
Document Text Administration/Output Types

  1. Open the Document Text Administration window.
  2. Click the Output Types tab and create a new record (F5).
  3. In the Output Type field, enter XX-OUTP, where XX are your initials. Specify XX Work Instructions as the output type description. Remember to replace all instances of XX with your initials.
  4. Create a new record in the table of the window.
  5. In the Document field, connect document 10 (Work Instruction) from the List of Values.
  6. Save the changes (F12).

Standard Phrase

Purpose: The purpose of this exercise is to show you how to set up a standard phrase in the system.

Windows:
Document Text Administration/Phrases

  1. Open the Document Text Administration window.
  2. Click the Phrases tab and create a new record (F5).
  3. In the Phrase ID field, enter XX-WI, where XX are your initials. Enter XX-WI Phrase as the description. Remember to replace all instances of XX with your initials.
  4. Create a new record in the table of the window.
  5. Select English from the List of Values and enter a phrase of your choice. 
  6. Save the changes (F12).

Purpose: The purpose of this exercise is to show you the required data that is used in the exercises below.

  1. Award the sub contract to the most suitable supplier.

Main Exercise

Purpose: The main purpose of this exercise is to show you how to issue work instructions to the sub contractor of the work.

Creating Work Instruction Header

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the necessary sub contract.
  3. Click the Work Instructions tab and create a new record (F5).
  4. In the Instruction Description field, enter a description of the work instruction.
  5. If desired, enter additional data, such as the work instruction type, responsible person's ID and required date.
  6. Save the information (F12).

Entering Work Instruction Details - 1

Prerequisite: The previous exercise must have been completed.

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the necessary sub contract.
  3. Click the Work Instructions tab.
  4. Select the record you created in the previous exercise, right-click and then click Work Instruction Details. The Sub Contract Work Instructions window opens.
  5. Create a new record (F5) in the table of the window.
  6. In the Instruction Line Description field, enter a description of the instruction line.
  7. If desired, enter additional data, such as the sub contract line and line item number, the value of the work instruction line and the ID of the person responsible.
  8. Save the information (F12).
  9. Repeat steps 5 to 8 for each work instruction line you want created.

Entering Work Instruction Details - 2

Note: The exercise below will show you how to create a work instruction for a specific sub contract line item.

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the necessary sub contract.
  3. Click the Items tab.
  4. Select the desired line item, right-click and then click Create Work Instruction. The Sub Contract Work Instructions window opens.
  5. To create the work instruction header, enter the description of the work instruction in the Instruction Description field.
  6. Save the information (F12).
  7. Create a new record (F5) in the table of the window.
  8. In the Instruction Line Description field, enter a description of the instruction line.
  9. In the Line No field, enter the required sub contract line number. Use the List of Values to select a value.
  10. In the Item No field, enter the required sub contract line item number. Use the List of Values to select a value.
  11. If desired, enter additional data, such as the value of the work instruction line and the responsible person's ID.
  12. Save the information (F12).
  13. Repeat steps 7 to 12 for each work instruction line you want created.

Entering Document Texts

Note: The exercise below will show you how to enter a document text on the work instruction.

Prerequisites: The output type must have been defined >>. Furthermore, if a standard phrase is to be connected, this phrase must have been defined >>.

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the necessary sub contract.
  3. Click the Work Instructions tab.
  4. Select the work instruction header you want, right-click and then click Document Texts. The Document Texts dialog box opens.

Note: You can also connect a document text to a work instruction line. To do this, right-click the work instruction header, and then click Work Instruction Details. In the Sub Contract Work Instructions window, select the desired line and access the Document Texts dialog box as shown in the above step.

  1. Click New.
  2. In the Output Type field, enter XX-OUTP, where XX are your initials.
  3. In the Note field, enter the desired text or connect the standard phrase XX-WI.
  4. Click Save and Close.
  5. Alternatively, you can remove a document text connection or modify an existing connection.

Releasing Work Instruction

  1. Open the Sub Contract Work Instructions window.
  2. Populate (F2) or query (F3) for the necessary work instruction number.
  3. Select the row, right-click, point to Status and then click Release.
  4. Verify that the work instruction is in the Released status.

Printing Work Instruction

Prerequisites: The work instruction must have been released.

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the necessary sub contract.
  3. Click the Work Instructions tab.
  4. Select the row, right-click and then click Print Work Instructions.
  5. Enter the relevant settings and click OK to print out the work instruction on your local printer

Replanning Work Instruction

  1. Open the Sub Contract Work Instructions window.
  2. Populate (F2) or query (F3) for the necessary work instruction number.
  3. Select the row, right-click, point to Status and then click Replan.
  4. Verify that the work instruction is in the Planned status.
  5. Right-click and click Work Instruction Details. The Sub Contract Work Instructions  window opens.
  6. Modify the work instruction information as required.
  7. Save the information (F12).

Sending Work Instruction

  1. Open the Sub Contract Work Instructions window.
  2. Populate (F2) or query (F3) for the necessary work instruction number.
  3. Select the row, right-click, point to Status and then click Send.
  4. Verify that the work instruction is in the Sent status.

Rejecting Work Instruction

  1. Open the Sub Contract Work Instructions window.
  2. Populate (F2) or query (F3) for the necessary work instruction number.
  3. Select the row, right-click, point to Status and then click Reject.
  4. Verify that the work instruction is in the Rejected status.

Confirming Work Instruction

  1. Open the Sub Contract Work Instructions window.
  2. Populate (F2) or query (F3) for the necessary work instruction number.
  3. Select the row, right-click, point to Status and then click Confirm.
  4. Verify that the work instruction is in the Confirmed status.

Setting Work Instruction to Work In Progress

  1. Open the Sub Contract Work Instructions window.
  2. Populate (F2) or query (F3) for the necessary work instruction number.
  3. Select the row, right-click, point to Status and then click WIP.
  4. Verify that the work instruction is in the WIP (Work In Progress) status.

Completing Work Instruction

  1. Open the Sub Contract Work Instructions window.
  2. Populate (F2) or query (F3) for the necessary work instruction number.
  3. Select the row, right-click, point to Status and then click Complete.
  4. Verify that the work instruction is in the Completed status.
