Issuing Work Instructions—Key Exercises
Basic Data Setup
Work Instruction Type
Purpose: The purpose of this
exercise is to show you how to set up a work instruction type in the system.
Windows:
Sub Contract Basic Data/Work Instruction Type
- Enter the work instruction type that should be
associated with your sub contract, if it has not already been created.
- The work instruction type ID to use is XXDET, where XX are your initials.
The description of the work instruction type is Details.

Basic Data and Requirements
Purpose: The purpose of this
exercise is to show you how to set up an output type in the system.
Windows:
Document Text Administration/Output Types
- Open the Document Text Administration window.
- Click the Output Types tab and
create a new record (F5).
- In the Output Type field, enter XX-OUTP,
where XX are your initials. Specify XX Work Instructions as the output type
description. Remember to replace all instances of XX with your initials.
- Create a new record in the table of the window.
- In the Document field, connect document 10
(Work Instruction) from the List of Values.
- Save the changes (F12).

Purpose: The purpose of this
exercise is to show you how to set up a standard phrase in the system.
Windows:
Document Text Administration/Phrases
- Open the Document Text Administration window.
- Click the
Phrases tab and create a
new record (F5).
- In the Phrase ID field, enter XX-WI, where
XX are your initials. Enter XX-WI Phrase as the description. Remember to
replace all instances of XX with your initials.
- Create a new record in the table of the window.
- Select English from the List of Values and enter a
phrase of your choice.
- Save the changes (F12).

Purpose: The purpose of this
exercise is to show you the required data that is used in the exercises below.

Main Exercise
Purpose: The main purpose of this exercise
is to show you how to issue work instructions to the sub contractor of the work.
Windows:
Sub Contract
Sub Contract Work Instructions
- Open the
Sub Contract window.

Populate (F2) or query (F3) for the necessary sub
contract.
- Click the
Work Instructions
tab and create a new record (F5).
- In the
Instruction Description field, enter a description of the work
instruction.
- If desired, enter additional
data, such as the work instruction type, responsible person's ID and
required date.
- Save the information (F12).
Prerequisite: The previous exercise
must have been completed.
- Open the
Sub Contract window.

Populate (F2) or query (F3) for the necessary sub
contract.
- Click the
Work Instructions
tab.
- Select the record you created in the
previous exercise, right-click and then click Work Instruction Details.
The Sub Contract Work Instructions window opens.

Create a new record (F5) in the table of the window.

In the Instruction Line Description field,
enter a description of the instruction line.

If desired, enter additional data, such as the sub
contract line and line item number, the value of the work instruction line
and the ID of the person responsible.
- Save the
information (F12).
- Repeat steps 5 to 8 for
each work instruction line you want created.
Note: The exercise below will show you how to create a work instruction for a specific sub
contract line item.
- Open the
Sub Contract window.

Populate (F2) or query (F3) for the necessary sub
contract.
- Click the
Items tab.

Select the desired line item, right-click and then
click Create Work Instruction. The
Sub Contract Work
Instructions window opens.
- To create
the work instruction header, enter the description of the work instruction
in the Instruction Description field.

Save the information (F12).

Create a new record (F5) in the table of the window.

In the Instruction Line Description field,
enter a description of the instruction line.

In the Line No field, enter the required sub
contract line number. Use the List of Values to select a value.

In the Item No field, enter the required sub
contract line item number. Use the List of Values to select a value.

If desired, enter additional data, such as the value
of the work instruction line and the responsible person's ID.

Save the information (F12).

Repeat steps 7 to 12 for each work instruction line
you want created.
Note: The exercise below will show you how to enter a document text on the work instruction.
Prerequisites: The output type must
have been defined >>.
Furthermore, if a standard phrase is to be connected, this phrase must have been
defined >>.
- Open the
Sub Contract window.

Populate (F2) or query (F3) for the necessary sub
contract.

Click the
Work Instructions tab.

Select the work instruction header you want,
right-click and then click Document Texts. The
Document Texts
dialog box opens.
Note: You can also connect a document text to a
work instruction line. To do this, right-click the work instruction header,
and then click Work Instruction Details. In the
Sub Contract Work
Instructions window, select the desired line and access the
Document Texts dialog box as shown in the above step.

Click New.

In the Output Type field, enter XX-OUTP, where XX are
your initials.

In the Note field, enter the desired text or
connect the standard phrase XX-WI.

Click Save and Close.

Alternatively, you can remove a document text
connection or modify an existing connection.
- Open the Sub Contract Work Instructions window.
- Populate (F2) or query (F3) for the necessary work
instruction number.
- Select the row, right-click, point to Status
and then click Release.
- Verify that the work instruction is in the
Released status.
Prerequisites: The work instruction
must have been released.
- Open the
Sub Contract window.

Populate (F2) or query (F3) for the necessary sub
contract.
- Click the
Work Instructions
tab.
- Select the row, right-click and then
click Print Work Instructions.
- Enter
the relevant settings and click OK to print out the work instruction
on your local printer
- Open the Sub Contract Work Instructions window.
- Populate (F2) or query (F3) for the necessary work
instruction number.
- Select the row, right-click, point to Status
and then click Replan.
- Verify that the work instruction is in the
Planned status.
- Right-click and click Work Instruction Details.
The Sub Contract Work Instructions window opens.
- Modify the work instruction information as
required.
- Save the information (F12).
- Open the Sub Contract Work Instructions window.
- Populate (F2) or query (F3) for the necessary work
instruction number.
- Select the row, right-click, point to Status
and then click Send.
- Verify that the work instruction is in the Sent
status.
- Open the Sub Contract Work Instructions window.
- Populate (F2) or query (F3) for the necessary work
instruction number.
- Select the row, right-click, point to Status
and then click Reject.
- Verify that the work instruction is in the
Rejected status.
- Open the Sub Contract Work Instructions window.
- Populate (F2) or query (F3) for the necessary work
instruction number.
- Select the row, right-click, point to Status
and then click Confirm.
- Verify that the work instruction is in the
Confirmed status.
- Open the Sub Contract Work Instructions window.
- Populate (F2) or query (F3) for the necessary work
instruction number.
- Select the row, right-click, point to Status
and then click WIP.
- Verify that the work instruction is in the WIP
(Work In Progress) status.
- Open the Sub Contract Work Instructions window.
- Populate (F2) or query (F3) for the necessary work
instruction number.
- Select the row, right-click, point to Status
and then click Complete.
- Verify that the work instruction is in the
Completed status.
