Connecting Manual Shop Order and DOP Header—Exercises
Basic Data Setup
Project Cost/Revenue Element
Purpose: The purpose of this exercise is to show you how
to create project cost/Revenue elements and connect them to Code part values.

- Create project cost/revenue elements which can be connected to the accounts/code
part values as derived by posting control rules. The posting control rules relevant
to manually connecting shop orders and DOP headers are shown in the following
table.
- Connect the relevant cost/revenue elements to the relevant accounts. If
your company has been created based on the STD company template and no changes
have been done to the default posting control rules or mappings of cost elements
to accounts, you will see the following mapping:

Purpose: The purpose of this exercise is to show you the
required data that is used in the exercises below.
- Create a new DOP header.

Main Exercise
Purpose: The purpose of these exercises is to show you how
to manually connect a Shop Order or a DOP Header to an activity, either from the
Shop Order/ DOP Header or from the activity. You will also learn how to update cost
and hours on the activity connected to the shop order or DOP header. Progress will
not be updated to the activity from these manually connected objects.

Connecting from the Project
Navigator Window.
- Open the Project Navigator
window and query for the project you created or create a new one.
- In Connections tab, right-click and
then click the Connect/Disconnect Object.
- In the window that appears, click on the
Shop Order tab to connect
the shop order.
- Click Populate and the existing unconnected shop orders will appear.
Alternatively, query for the required shop order.
- Select the Connection check box of the required shop order, then
click OK.
- In Project Navigator/Connections tab,
view the shop order that you just connected to the project activity. If the
shop order is in the Planned state, its planned committed cost and planned
committed hours are also displayed.
Connecting from the Shop Order
Window.
- Open the Shop Order
window and query for the shop order that you created previously or create a
new one.
- Right-click on the shop order header and then click Project Connection/Connect
to Activity.
- In the Connect To
Activity dialog box that opens, enter the Program ID, Project ID,
Sub Project ID and Activity ID in the relevant fields or click the List
button to select the details related to the activity you want to connect the
shop order to, from the List of Values.
- Click OK.
- Click the
Shop
Order/Tracking and History tab and view the details of the connected
activity.
- Check the shop order pre posting by right-clicking on the header and then
clicking Costing/Pre Posting. Note that the shop order got project pre
posting due to the activity connection. If the shop order has its own pre posting,
it will remain but project and activity sequence will also be added as pre postings.
- Check that the shop order has the value Project Inventory in the Demand
field on the Details tab.
Note: In both of the above instances, notice that the
System Connection field in the Project Navigator/Connections
tab or the Activity/Connections will not be
selected, which indicates that it is a manual connection.
Disconnecting from the Project
Navigator window.
- Open the Project Navigator
window and query for the project you created and select the activity
the object is connected to from the navigator.
- In Connections tab, right-click and
then click Connect/Disconnect Object.
- In the window that appears, click on the
Shop Order tab and query
for the shop order that you want to disconnect.
- Clear the Connection check box of the required shop order, then click
OK.
- Check that in the Project Navigator/Connections
tab, the shop order that you just disconnected is no longer there.
Disconnecting from the Shop Order
window.
- Open the Shop Order
window and query for the shop order that you want to disconnect from the activity.
- On the header, right-click and then click Project Connection/Disconnect
from Activity.
- Check that the project connection information in the
Shop
Order/Tracking and History tab has been removed.
- Check also the pre posting by right-clicking on the header and then clicking
Costing/Pre Posting. Note that the project pre postings that were automatically
retrieved when the shop order was connected to the activity have been automatically
removed.
- Check that after disconnection, the shop order has now the value Inventory
Order in the Demand field on the Details
tab.
Connecting from the Project
Navigator window.
- Open the Project Navigator
window and query for the project you created or create a new one.
- In Connections tab, right-click and
then click Connect/Disconnect Object.
- In the window that appears, click on the DOP
Head tab to connect the DOP header.
- Click Populate and the existing unconnected DOP headers will appear.
Alternatively, query for the required DOP header.
- Select the Connection check box of the required DOP header, then
click OK.
- In the Project Navigator/Connections
tab, view the DOP header that you just connected.
Connecting from the DOP Header
window.
- Open the DOP Header
window and query for the DOP header that you created previously or create a
new one.
- Right-click on the DOP header and then click Project Connection/Connect
to Activity.
- In the Connect To
Activity dialog box that opens, enter the Program ID, Project ID,
Sub Project ID and Activity ID in the relevant fields or click the List
button to select the details related to the activity you want to connect the
DOP header to, from the List of Values.
- Click OK.
- Check the DOP header pre posting by right-clicking on the header and then
clicking Pre Posting. Note that the DOP header got project pre posting
due to the activity connection. If the DOP header has its own preposting, it
will remain but project and activity sequence will also be added as pre postings.
- View the connected project and activity details in the
Details tab of the DOP header.
Note: In both of the above instances, notice that the
System Connection field in the Project Navigator/Connections
tab or the Activity/Connections will not be
selected, which indicates that it is a manual connection.
Disconnecting from the Project
Navigator window.
- Open the Project Navigator
window and query for the project you created and select the activity
the object is connected to from the navigator.
- In Connections tab and right click
and then click the Connect/Disconnect Object.
- In the window that appears click on the DOP Head
tab and query for the DOP header.
- Clear the Connection check box of the required DOP header, then click
OK.
- Check that in the Project Navigator/Connections
tab the DOP header that you disconnected is no longer there.
Disconnecting from the DOP Header
Window.
- Open the DOP Header
window and query for the DOP header that you want to disconnect from the activity.
- Right-click on the relevant DOP header and then click Project Connection/Disconnect
from Activity.
- Check that after disconnection the details to the project in the Project
ID and Activity Sequence fields in the
Details tab are removed.
- Check also the pre posting by right-clicking on the header and then clicking
Pre Posting. Note that the project pre postings that were automatically
retrieved when the DOP header was connected to the activity have been automatically
removed.
- Once you have the required shop order connected to the activity, right-click
on it and select Release.
- Go to Project Navigator/Connections
tab. Observe that the values retrieved to the Committed column are based
on the shop order costs and hours.
- Verify that these values update the correct cost elements, based on how
you set up the posting control rule M40 and cost element mappings.
- Click the Activity
tab. Note that the values in the Committed column on the
Cost and Hours
tabs have been updated correctly from the connected objects.
- Return to the Shop Order
window. Right-click and then click the Material Actions menu option.
Now select Issue. (Optionally, you can reserve the shop order before
issuing it.)
- Click the Activity
tab. Observe that committed cost decreased and the Used cost increased.
- Return to the shop order, right-click and then select Report.
- In the Report Shop
Order Operation window, select the operations that requires time
reporting, and right-click and then click Report Time.
- Return to the Shop Order
window and right-click and then click the Material Actions
menu option. Then select Manual Receive.
- In the
Inventory Receipt tab of the
Receive Shop Order
window, enter the record for quantity to be received in the preferred inventory
location.
- Click the Demand/Misc. Parts.
Verify that the material has been received by checking the Received Quantity
and Received Date fields for this part.
- Click the Supply/Inventory and
Reserved Material
tabs to verify that the parts are found in the project inventory and reserved
for the demand.
Note: You will notice that during this exercise the progress will not
be reported to the activity from the Shop Order.
- Make sure you have the required DOP header connected to the activity
- Right-click on the DOP header and then select Create DOP Structure/Create
Structure.
- Click Yes to create the DOP structure.
- Click the
Structure
tab to view the created structure.
- Right-click on the header again and then click Release All to release
all the DOP orders created for the DOP structure.
- Click on Costing
tab and on the navigator, right-click on the top node of the DOP structure and
then click Calculate DOP Cost.
- In the dialog box that opens, enter your site and select all DOP cost types.
- In the Structure
tab, right-click and then click the DOP Order Detail menu option to view
the DOP order.
- In the DOP Order
window, click the Supply/Summary
tab and check that a pegged order has been created for the part.
- Select the record then right-click and click Go to Supply to view
the created supply for the part.

Go to the created supply pegged to the DOP order. If it's a purchase requisition,
convert it to a purchase order then release it. If it's a shop order, then go
directly to step 17.
- Go back to the
Costing
tab of the DOP header and calculate the DOP cost, as described in steps
6 and 7.
- Go to the project activity that has been connected to the part. Refresh
the window and see if cost have been retrieved back to the activity. Note that
the cost calculated in the Estimated Accum Cost field in the
DOP Header/Costing
tab will give you committed cost back in the project activity.
- Go back to the purchase order. Confirm and receive it.
- Close the DOP Order.
- If the created supply is a shop order, then release it.
- Repeat steps 12 and 13.
- Reserve then issue the material to the shop order.
- Repeat steps 12 and 13 and observe what happens to the committed and used
costs back in the project activity.
- Report operations on the shop order, and then repeat steps 12 and 13.
- Observe the hours and costs retrieved in the project activity.
- Receive the shop order.
- Close the DOP order.
Note: You will notice that during this exercise the progress will not
be reported to the activity from the DOP header.
