Main Exercise

Purpose: The purpose of these exercises is to show you how to connect a document in IFS/Document Management to a project, activity, and project demand.

Note: To be able to do these exercises, you must use an executable containing both IFS/Document Management and IFS/Project.

Connecting Documents to a Project, Activity and Miscellaneous Demand

Note: Perform the following steps to connect a document to a project ID. For an example, you can refer to Project P101, to which Document P101–0001 is connected.

  1. Open the Project window, and query for your project. (Alternatively, perform the following steps in the Projects window.)
  2. Click on the Attachments panel right-click and click Attach.
  3. Attach Documents window opens.
  4. Select the document from the List. Click OK.
  5. You can also create a new document to connect to your business object. Right-click in the Attachments panel, and click New to open the Create New Document window.
  6. Enter the desired document class, or select it from the List of Values.
  7. Enter a document title. Click OK.
  8. Optionally, for each of your connected documents, enter a value in the Association Category field, or select one from the List of Values.
  9. For each of your connected documents, verify that the value of the Update Revision field is correct.
  10. Save your changes.

Note: Perform the following steps to connect a document to an activity. For an example, see Activity 10010 in Project P101, to which Document P101–1010 is connected.

  1. Open the Project Navigator window. (Alternatively, open the Activity or Activities window.)
  2. Query for your project.
  3. In the Navigator, select the activity to which you want to connect a document. Click the Activity tab. (Alternatively, in the Activity window, select the desired activity in the Project list, and click the General tab. In the Activities window, select the desired activity.)
  4. Click on Attachments panel.
  5. Perform steps 3–14 above.

Note: Perform the following steps to connect a document to project demand. For an example, see the miscellaneous procurement for Activity 20040 in Project P101, to which Document P101–2040 is connected.

  1. Open the Project Navigator window. (Alternatively, open the Activity or Project window.) 
  2. Query for your project.
  3. In the Navigator, select the activity with the miscellaneous demand record to which you want to connect a document. (Alternatively, in the Activity window, select the desired activity in the Project list.)
  4. Click the Demand tab and then either the Misc Parts tab or the Misc. No Parts tab.
  5. Select the miscellaneous demand record to which you want to connect a document.
  6. Click on Attachments panel.
  7. Perform steps 3–14 above.

Viewing Document Information and Object Information

Note: From IFS/Project, perform the following steps to view information about connected documents.

  1. Open the Project or Project Navigator window, and query for your project.
  2. Select the desired business object that is connected to the documents that you would like to view. For example, if you want to view a document connected to a project demand, click the Project Info/Demand/Misc. Parts tab or the Project Info/Demand/No Misc. Parts tab, and select the desired miscellaneous demand. If you want to view a document connected to an activity, select this activity in the Project Navigator Navigator.
  3. Click on Attachments panel and select Documents. All documents connected to the selected business object are listed.
  4. Select the desired document, right-click, and then click Document Revision. The Document Revision window appears, showing information about the selected document. You can also open this window from the Navigator.

Note: From IFS/Document Management, perform the following steps to view information about connected objects.

  1. Open the Document Revision window. 
  2. Click the Objects tab. A list appears of all business objects connected to this document. The Object field indicates the kind of object that is connected, e.g., Project, Activity, or Project Misc Procurement.
  3. Select the desired object, right-click, and then click Object Details. A window appears with information about the selected object. If the selected object is a project, the Project window appears. If the selected object is an activity, the Activity window appears. If the selected object is miscellaneous demand, the Project Miscellaneous Procurement window appears.
