Define Basic Data for Export Control 

Purpose: The purpose of this exercise is to define site, customer, supplier, and export control basic data that will be used by the export license.

Main Exercise

Purpose: The purpose of this lesson is to define the export license that should match an order and an order line part.

Define Export License

The export license identifies who, e.g. what government, has given what restrictions to use this license, where you in the header identifies the Authority, the valid dates, any possible visual restriction regarding end user certificate, required documents etc, but also what part and party this license is allowed to being used.

Export License Header Data

Create a license to be used by the export-controlled part identified on the part catalog.

  1. Select New (F5) to create a new record.
  2. In the License No field enter the value XX-Tank-PC where XX is replaced by your initials.
    Note: If you leave this field blank, the system will prompt you a license number.
  3. In the Description field enter the value License for part catalog Tank.
  4. In the Authority License No enter the license ID given buy the government, e.g. XX-US-1234 where XX is replaced by your initials.
  5. In the Issuing Authority/Customs select or enter the customs ID you entered before, e.g. XX-US
  6. In the Issued Date enter today's date (i.e., system date).
  7. In the Effective From enter today's date.
  8. In the Expired enter a date far ahead. 
  9. In the Primary Classification enter or select (via F8) the classification you have entered earlier, e.g. XX-Military.
  10. In the License Type enter or select the type you have entered earlier, e.g. XX-EXPORT.
  11. Select one of the Restrictions check box, to get a notice about possible restriction when connecting to this license.
    Note: If any of following check boxes or fields has a value, then you will get a notice about the restriction when connecting to this license.
  12. Save the record.(F12).
     

Export License Coverage

To identify for which part and/or part classification the license is valid, including the possibility to include for which order flow and possible limited number of quantity or amount the license is restricted to be used.

  1. Click the Coverage tab.
  2. Select New (F5) to create a new record.
  3. In the Part No field select or enter the part no for which this license should be valid, or a % sign to indicate it is valid for all parts, enter a % sign.
  4. In the Primary Classification field select or enter the schemes you have entered earlier, accept the pre-prompted value.
  5. In the Classification Scheme field select (F8) or enter the scheme you have entered earlier, e.g. XX-ITAR.
  6. In the Exp Ctr Code field select or enter the code you have entered earlier, e.g. XX-Tank-PC.
  7. In the Flow Type select All.
  8. In the Currency field select or enter a currency, accept the pre-prompted currency for the default company.
  9. In the UoM select or enter the applicable unit of measure that matches the identified part classification, e.g. pcs. 
  10. Optionally, enter a limited licensed quantity for what quantity this license is allowed to be used, where a 0 (zero) means unlimited.
  11. Optionally, enter a limited licensed amount for what value this license is allowed to be used, where a 0 (zero) means unlimited.
  12. Save the record. (F12).

Export License Site

To identify for which site(s) this  license is valid.

  1. Click the Site tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%) in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify an ID, this ID must also be equally identified in the corresponding tab on the Find and Connect Export License window to get a match.

Export License Supplier

To identify for which supplier(s) the license is valid, in which you need to enter the restrictions given by the authority issuing the license.

  1. Click the Supplier tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%) in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify an ID, this ID must also be equally identified in the corresponding tab on the Find and Connect Export License window to get a match.

Export License Customer

To identify for which customer(s) the license is valid, in which you need to enter the restrictions given by the authority issuing the license.

  1. Click the Customer tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%) in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify an ID, this ID must also be equally identified in the corresponding tab on the Find and Connect Export License window to get a match.

Export License Forwarder

To identify for which forwarder(s) the license is valid, in which you need to enter the restrictions given by the authority issuing the license.

  1. Click the Forwarder tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%) in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify an ID, this ID must also be equally identified in the corresponding tab on the Find and Connect Export License window to get a match.

Export License End User

To identify for which end user(s) the license is valid, in which you need to enter the restrictions given by the authority issuing the license.

  1. Click the End User tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%) in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify an ID, this ID must also be equally identified in the corresponding tab on the Find and Connect Export License window to get a match.

Export License End Usage

To identify for which end usage(s) the license is valid, in which you need to enter the restrictions given by the authority issuing the license.

  1. Click the End Usage tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%) in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify an ID, this ID must also be equally identified in the corresponding tab on the Find and Connect Export License window to get a match.

Export License Consignee

To identify for which consignee(s) the license is valid, in which you need to enter the restrictions given by the authority issuing the license.

  1. Click the Consignee tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%) in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify anything other than a percentage sign (%), a message appears informing you about the restriction when connecting to this license.

Export License Nationality

To identify for which nationality(ies) the license is valid, in which you need to enter the restrictions given by the authority issuing the license.

  1. Click the Nationality tab.
  2. Select New (F5) to create a new record.
  3. Save the record. (F12).

Note 1: If you just create a new record and save, you will get a record with the percentage sign (%)in the mandatory fields, meaning all identities are allowed to use this license.

Note 2: If you specify anything other than a percentage sign (%), a message appears informing you about the restriction when connecting to this license.

Export License Access Rights

To identify which user, user group and/or user site should have what access rights to this export license record and/or documnets connect to this export license.

  1. Click the Access Rights tab.
    Note: A general access with all grants to all users, USER SITE identified as %, is already set.

Approve Export License

  1. In the header, right-click and click Approve for usage.
     

Copy Export License

Create a supplier license to be used by the export-controlled supplier part identified on the supplier for purchase part.

  1. In the header right-click and click Copy Export License.
  2. In the License No field enter the value XX-Tank-PP where XX is replaced by your initials.
  3. In the Description field enter the value License for purchased part Tank.
  4. Make sure all Select what to copy are selected.
  5. Click OK.
  6. Click the Coverage tab.
  7. In the Classification Scheme field select or enter the scheme you have entered earlier, e.g. XX-UKML.
  8. In the Exp Ctr Code field select or enter the code you have entered earlier, e.g. XX-Tank-PP.
  9. Save the record. (F12).
     
  10. In the header right-click and click Approve for usage. 

Verify entered export licenses

Purpose: Verify that the entered export licenses matches the part classification.

Menu Path: Export Control/Export License/Find and Connect Export License

  1. Open the Find and Connect Export License window.
  2. Search (Query) on Find and Connect ID that you used to verify the part classification in the general exercise for Define Export Controlled Parts.
  3. Click Find Export License.
  4. Click the Connections Log tab.

Note: If you entered any visual restriction on the export license, then this will be seen as "... restriction apply" indicating that the user must read and accept the visual restriction before connecting to this license.

  1. Click the Export License Tree tab.

Note: The two part sources should have the License status set to Match Coverage.
