The Document Class Process Action defines what should happen when selecting a specific process action (e.g., edit, check in or view).

Document Class Process Action

Purpose: The purpose of this exercise is to learn how to set up the Document Class Process Action for a document class and process.

Set Macro Option

First, set the macro option for a specific document class and process action VIEW.

  1. Open the Document Class Process Action window from the Navigator.
  2. Populate (F2) and select the XX class (where XX are your initials) from the Document Class list.
  3. Select VIEW from the Edm Macro Process list.
  4. Select RunIfOnlyOne from the Macro Option list.
  5. Select Force Document Title and Name from the Name Files Using list.
  6. Save (F12).

Result: If there is only one document macro configured for the document class XX (where XX are your initials) and process VIEW this will be run automatically when the user selects to view a document of that class. If there are several macros configured for the class and process VIEW, the user will be able to select macro from a drop down list. The file will be named using the standard document title and name.

Define Document Types

If you want document types other than Original, View Copy and Redline to be processed you must configure those document types here. In this exercise you are going to define that files of type DATA (i.e., database files) should be put in the local check out path along with the original file (if existing) when viewing document of class XX (where XX are your initials).

  1. Continue with the configuration above (i.e., class XX, process VIEW).
  2. In the table part of the window, create a new row and use the List of Values to enter DATA in the  Document Type column.

Result: When the user selects to view a document of the XX class (where XX are your initials), the original file will be displayed as usual but also a copy of  the database file will be placed in the user's local checkout path (if such a file exists for the selected document).

Note that the processes VIEW and PRINT do not enable the user to view or print the secondary files. What happens is that copies of the secondary files is put on the user's local checkout path.
