Document Class Basic - Key Exercise

The Document Class Basic monitors the sort of data that can be specified for each document class.

Document Default Values

Purpose: The purpose of this exercise is to familiarize you with how to set up the Document Default Values for a specific document class.

Windows:
Document Class Management/Document Default Values

  1. Populate the window (F2).
  2. Select the class that you created in the Document Basic exercise named XX (where XX are your initials) in the Document Class drop down list.

Note that the default tab is empty for this specific document class. Right now, this document class will get the same default values as specified under the Document Basic/ Document Default Values tab.

  1. Right click and click Copy All Defaults.
  2. Change the default first revision value by clicking the Override Default check box in the DOC_REV row, and then changing the value from 1 to A.
  3. Save your changes (F12).

Result: When you create a new document of this class, the first revision will be called A.

Format

Purpose: The purpose of this exercise is to learn how to set up the valid formats for a certain document class.

Windows:
Document Class Management/Format

  1. Keep the Document Class Management window populated with the same class as above.
  2. Click the Format tab.

Note that the Format tab is empty for your class, which means that if you should open a Format List Of Values it would be empty right now.

  1. Right click and click Copy All Formats.
  2. Remove the A4 format from the list by highlighting it and selecting the Remove icon or F7.
  3. Save the change (F12).

Note that you cannot add a new format in this form, only remove existing formats from the list.

Result: The A4 format is not a valid format for your document class and will not be visible in the List of Values for that specific class.

Media

Purpose: The purpose of this exercise is to learn how to set up the valid media for a certain document class.

Windows:
Document Class Management/Media

  1. Keep the Document Class Management window populated with the same class as in the previous exercise.
  2. Click the Media tab.
  3. Right click and click Copy All Media.
  4. Remove the CD (Compact Disc) medium by highlighting the row and click on the Remove icon (or F7).
  5. Save (F12).

Result: The CD medium is not a valid medium for the selected document class and will not be visible in the List of Values for Media.

History

Purpose: The purpose of this exercise is to learn how to set up the history settings for a certain document class.

Windows:
Document Class Management/History

  1. Keep the Document Class Management window populated with the same class as in the previous exercise.
  2. Click the History tab.
  3. Right click and click Copy All History
  4. Disable the logging for the Approval step removed value in the Info Category field by clearing the corresponding Enabled check box.
  5. Save (F12) your changes.

Result: When you create a new document of the selected class, the history log will not log when an approval step is removed from the Approval tab in the Document Revision window.

Reason for Issue

Purpose: The purpose of this exercise is to learn how to set up the valid choices of Reason for Issue for a certain document class.

Windows:
Document Class Management/Reason for Issue

  1. Keep the Document Class Management window populated with the same class as in the previous exercise.
  2. Click the Reason For Issue tab.
  3. Right click and click Copy All Reason For Issue.
  4. Highlight reason no. 20 and reason no. 70 (hold down the CTRL key when clicking to select both).
  5. Click the Remove icon or F7 to remove these two reasons.
  6. Save the changes (F12).

Result: When you create a new document of the selected class, reason no. 20 and 70 will not be valid reasons for issue and therefore not visible in the List of Values.

Enter Object Type for Quick Connect

Purpose: The purpose of this exercise is to set up objects for Quick Object Connect for a certain document class.

Windows:
Document Class Management/Object Type for Quick Connect

  1. Keep the Document Class Management window populated with the same class as in the previous exercise.
  2. Click the Object Type for Quick Connect tab.
  3. Right-click and click Copy All Object Types.
  4. Enter 1 as the sort order for PlantObject and 2 as the sort order for Project.
  5. Save the changes (F12).

Document Class Basic - Extended Exercise

Configure a document class for Advanced Number Generation

Purpose: If advanced number generator (i.e., number counter or booking list) should be used for a document class, the default values of that document class must be set up in a specific way. In this exercise you will learn how to do these settings.

Windows:
Document Class Management/Default Values

  1. Keep the Document Class Management window populated with the same class as in the previous exercise.
  2. Click the Document Default Values tab.
  3. Click the Override Default check box for the NUMBER_GENERATOR row and enter ADVANCED in the Override Value field.
  4. Save (F12).

Result: You have now configured the XX class (where XX are your initials) for advanced number generator, but you must also define which number counter that should be used.

  1. Click the Override Default check box for the NUMBER_COUNTER row and enter XXRACE (where XX are your initials) in the Override Value field.
  2. Save (F12).

Result: You have now defined that the number counter that should be used for this class is the counter with ID1=XXRACE (where XX are your initials), i.e., the number counter that you created in the Document Basic Extended exercise. When you create a new document title of this document class you will now get document numbers from this number counter.

Macros

Purpose: In the Macros tab, it is possible to set up which document macros that should be used for a specific document class. By doing so you will not have to select between document macros that are not applicable for that class in the drop down list when running the macros. The purpose of this exercise is to learn how to configure macros for a certain document class.

Windows:
Document Class Management/Macro

  1. Keep the Document Class Management window populated with the same class as in the previous exercises.
  2. Click the Macros tab.
  3. Click New (F12) and use the List of Values (F8) to select and enter the following macro:

VIEW TXT TRAINING_VIEW
  1. Save (F12).

Result: When viewing documents of the XX class (where XX are your initials) you will only be able to select the TRAINING_VIEW macro from the drop-down list.

Note: It is also possible to define whether a macro should be run automatically if there is only one macro configured for that class and process. This is done in the Document Class Process Action window.
