Basic Data Setup

Work Types

Purpose: The purpose of this exercise is to show you how to set up the basic data required for the following exercises.

Purpose: The purpose of this exercise is to show you how to set up the basic data required for running the Work Requests chapter. The coordinator will later be the person responsible for creating the invoices for the service work orders.

Main Exercises

Purpose: The purpose of these exercises is to create a service request with all required data and important complementary data, such as equipment object, customer, and customer agreement. The purpose is also to prepare a service request, including standard job, coordinator, and additional description of the fault.

Windows:
Service Request

Create Service Request

  1. Open the Service Request window, and create a new service request (F5).
  2. Enter the signature of the person who reported this record. Use the List of Values (F8).
  3. Enter the name and phone number of the person who requested the service.
  4. Enter a brief description of the service to be performed.
  5. The customer gives you B–5678 as reference number.
  6. Select the following customer: 3000 Pulp and Paper Mill. Use the List of Values (F8).
  7. Right-click and then click Objects for Customer, and search for Object OF-111-CO-001 Copy Machine in the upper part of the table. Select a service contract in the lower table of the window. Click Select on the service contract table.
  8. A work type and a maintenance organization will automatically be retrieved from the service contract (this can be changed or added). Use the List of Values (F8).
  9. The service contract will also give you the setting time for the work (the General tab).
  10. On the General tab, enter the priority of the work. Use the List of Values (F8).
  11. Save the new service request (F12).

Prepare Service Request

  1. Open the Service Request window and click the Jobs tab.
  2. Create a job line. Enter an appropriate standard job in the Standard Job ID field. Use the List of Values to select a suitable value. Save (F12).
  3. Click the Prepare tab. Change the value in the Work Description field if required. Note: A value is automatically retrieved if a standard job is connected.
  4. If not yet done, enter the start and finish dates and an execution time.

Note: If you first enter start date and then execution time, the finish date will automatically be calculated.

  1. Enter a work leader and coordinator. Use the List of Values (F8).
  2. Specify how the fault was discovered and the symptoms of the fault. Use the List of Values (F8).
  3. Save the new information (F12).
  4. Click the Budget tab. The planned cost and planned revenue appear from the standard job.
  5. Click the Scheduling tab to see other work orders that are planned for the maintenance organization.

Note: You will only see work orders for the maintenance organization that you have entered on the Prepare tab, and work orders that have a planned start date that are later than today's date.

  1. Click the CO Information tab.

Note: On this tab, you can enter and view information on the customer order type and the currency that are connected to a service request.

  1. Right-click, point to Work Order Status and then click Observed.
