Required Data

Create Work Order

Purpose: The purpose of this exercise is to familiarize you with the required data that is used in the exercises below.

Main Exercises

Purpose: The purpose of these exercises is to enter additional information on a work order that already has been planned and prepared.

Work Order Structure

  1. Open the Prepare Work Order window. 
  2. Query (F3) for the work order that you entered in the Required Data exercise above with the Work Request status.
  3. On the Operations tab, enter two new rows.
  4. Create an additional work order by copying this one. Right-click and then click Copy. Mark the checkbox Operations in the Copy Work Order dialog box.
  5. Query for the newly generated work order (F3).
  6. In the Object ID field, change the object for this work order to another object using the List of Values. Save the transaction.
  7. Change the status on these two work orders to Under Preparation.
  8. Since these work orders will be performed together, you can bundle them in a structure. Make a two-level work structure with one of the work orders as the uppermost work order. Right-click and then click Structure.
  9. Search for the work order that you want to be the underlying one. Click New, and then use the List of Values to find the work order that you just created.
  10. For the superior work order, the Has Connections check box is checked. For the underlying work order, the Is Connected check box is checked (in the Prepare Work Order window). 
  11. On the superior work order, enter new data in the following fields on the General and Prepare tab: Priority, Work Leader, Work Master (as required), and Prepared by. Use the List of Values to find appropriate values.
  12. On the same work order, right-click and then click Preposting and enter some elements in the posting table. Use the List of Values when selecting data in each field, and click OK to confirm the new registrations. Your work orders are now prepared with the most important general information.

Graphical Work Order Structure

Note: Work order structures can also be created using the Work Order Structure window. In this window, you cannot copy information from a superior work order to the new one. The work orders will only be bundled together.

  1. Open the Prepare Work Order window, and retrieve the superior work order that you entered above.
  2. Right-click and then click Graphical Work Order Structure.
  3. Note that when you double-click a work order to the left, all the underlying work orders are shown. 
  4. Select one of the underlying work orders and create a new level, i.e., create a new underlying work order. Right-click and then click Create WO.
  5. In the Create Work Order window, enter the appropriate values by using the List of Values.
  6. Expand the parent work order.
  7. Mark the new work order to the left, right-click and then click Prepare, if you want to plan and prepare the work order further.

Note: You can use several options to change the structure, e.g., the Expand or Collapse options. The right part of the window displays detailed information on the work order that is selected in the structure to the left. You can only view the information; you cannot change anything in this window. If you want to change the information, select the work order in the left window, right-click and then click Prepare or Report In

Standard Job

  1. Open the Prepare Work Order window, and create a new work order. See the instructions in the Work Order Structure exercise above (steps 1–8).
  2. On the Jobs tab, create a new job and select the standard job created earlier from the List of Values, save.

Note: The standard job can be connected to a service request, a prepare work order, or a separate PM action. Sometimes you are perfectly aware which operation, material and tool and facility are required for a job. In this case, you can use the Separate Standard Job as a template for a certain type of job to be performed in various parts of the facility. If a standard job identity is entered on the Jobs tab, the entire operation, material and tool and facility planning is copied from the standard job to the Operations, Materials and Tools and Facilities tabs. If it is a PM-generated work order, the standard job ID comes from the PM generation.

  1. Save the new information.
  2. The two operations from the standard job will be populated to the lower section of the Jobs tab. The first operation should include a team.

Permits

  1. Open the Prepare Work Order window, and retrieve the work orders that you entered either above or in the Prepare and Plan WO exercise.
  2. On the Permits tab, create a new work permit. 
  3. Since this is the last step in the preparation before scheduling the work order, you need to change the status to Prepared. 

Note: If the work order is PM generated and the PM action had permits linked to it, the permits are included at generation and each permit then receives a unique ID number. It is also possible to connect attributes to a certain permit. This is done by right-clicking and then clicking Attributes

Document Requirements

  1. Open the Prepare Work Order window, and retrieve the work orders that you entered above, or create a new one.

Note: During repair, it is imperative that you have a detailed reference document available. You can do this by connecting the correct document to the work order. The performing personnel will then be able to access the information in this document easily.

Note: You should be running the Enterprise Asset Management executable to be able to use this functionality.

  1. Use the Object Connection button (the clip) on the toolbar to create a connection to an appropriate document.
  2. Create a new record.
  3. In the Document No field, select the document number using the List of Values.
  4. In the Document Revision field, select the revision to be linked to the work order. Use the List of Values.
  5. In the Update Revision list, click Latest Revision.
  6. Save the record.
  7. Highlight the row, right-click and then click Document Info. Review the document information. You have now finished the document planning for your work order.
