Basic Data Setup

Purpose: The purpose of these exercises is to set up the basic data required for running this particular functionality.

Training Room and Equipment

Purpose: The purpose of this exercise is to learn where to enter a new training room and equipment.

  1. Enter a new room, starting with your initials, e.g., XX Berlin.
  2. Enter new equipment, starting with your initials, e.g., XX Video.

Main Exercises

Purpose: The purpose of these exercises is to guide you through the basic training administration process, such as creating a training event, including two courses, booking trainers, rooms and equipment, registering participants, and changing event and participant status.

Course Specification
Training Events

Define Training Event

  1. Open the Training Event window.

    Register a training event for a Project Management course, starting with your initials, e.g., XX Project Management.

  2. Enter information in all the fields of the General tab except for the Evaluation Question field. Go to Course Specification/General tab to see how many days the course last and how many participants it can accommodate.

Note: This exercise does not include how to evaluate the event and the participants. To learn about that aspect of training administration, refer to the Completing Training lesson.

  1. Save the information.
  2. Open the Offered Course tab and include the Project Management course. Save the information.
  3. Book room, equipment, and main trainer for the course in the respective tab, selecting the course in the tree structures.
  4. Enter the agenda for the course by right-clicking and then clicking Get Default Agenda.
  5. Enter costs related to the training event in the Event Cost tab.
  6. Save the information.
  7. Change the status to Published.

Register for Training Event

  1. Open Training Events and populate the window.
  2. Select your training event. Right-click and then click Training Event.
  3. Open the Participant tab and register two external and two internal participants.
  4. Save the information.
  5. Change the status of the event to Confirmed.

Note: Participants can be registered when the event status is either Published or Confirmed.

Change Participant Status

  1. Open the Participant tab.
  2. Cancel one of your participants and confirm three others by right-clicking.

Note: If the status is changed to Canceled after the last registration date, an information message will inform you about this.

Complete Training

  1. Open the Training Event window and change the event status to Completed.
  2. Open the Participant tab and change the status of your three confirmed participants to Attended.
