Basic Data Setup

General Training Evaluation

Purpose: The purpose of this exercise is to set up the basic data required for running Completed Training.

  1. Open the General Training Evaluation/Evaluation Question tab and enter a new question.
  2. Open the Evaluation Question Template tab and define your own template, including at least one question referring to the Participant evaluation group and one question referring to the Training Event evaluation group.

Note: The questions within the Participant evaluation group will be answered by the teacher, and the questions within the Training Event evaluation group will be answered by the participants.

Main Exercises

Purpose: The purpose of these exercises is to show you how to complete a training event and how to evaluate it and the participants. You will also practice how to update an employee's competency level after he or she has attended an event.

Define Training Event

  1. Define a training event. Select your own evaluation template. Include a Project Management course. Register a main trainer. Publish the event  and register four participants.
  2. Confirm the event and the participants.
  3. Complete the event and change the status to Attended for the participants.

Evaluate Training Event

  1. Open the Evaluation on Training Event tab.
  2. Create a new record and save. The evaluator ID will be Anonymous and your template question(s) will show.
  3. Enter the ratings.
  4. Create a new record and, using the List of Values, enter one of your participants in the Evaluator ID field. Then save the information.
  5. Enter the ratings.
  6. Save the information.

Evaluate Training Event Web

  1. Open the Training Information/Training History page and click Evaluate Training Event on the Action menu for your event.
  2. Enter the ratings for the different questions by clicking Edit on the Action menu for each question.

Evaluate Participant

  1. Open the Evaluation on Participant tab.
  2. Select one of your participants from the list in the Participant ID field. 
  3. The questions from your evaluation question template and your course-specific questions will be displayed by type of evaluation in a tree structure.
  4. Enter your rating in the General Evaluation and Course Evaluation fields. 
  5. Save the information.

Note: When the course result is set to either Pass or Fail  in the Evaluation on Participant tab, the Course Result field in the Employee Strategic Files/Training History tab is updated accordingly.

Update Employee Training History

  1. Open the Employee Strategic Files window and select one of your participants.
  2. Open the Training History tab and view the information. 
  3. Update the files with an external course within the Leadership area. 

Note: When registering an external course, do not enter a course ID. 
By changing the participant status to Attended the Training History tab will automatically be updated.

Update Employee Competency

  1. Open Job Based Training window. Search or populate to find the required employee.
  2. Go to the Competencies tab
  3. Right-click and click Update Competency Level.

Note: You can only update the employee’s competency level if the employee has attended and passed all mandatory courses for the specified competency element and level. There must also be an indication in the Course Specification/Competency Obtained tab that the course supports the competency level required according to the employee’s job specification, or at least that the course will help minimize the gap.

Update Employee Licenses

  1. Open Job Based Training window. Search or populate to find the required employee.
  2. Go to the Licenses tab 
  3. Right-click and click Update Licenses.

Note: You can only update the employee’s licenses if the employee has attended and passed all mandatory courses for the specified competency element and level. There must also be an indication in the Course Specification/Licenses Obtained tab that the course supports the licenses required according to the employee’s job specification, or at least that the course will help minimize the gap.
