Main Exercise

Purpose: The main purpose of this exercise is to show you how to connect a project and project activity to a sub contract/item. In this lesson, we will connect two different projects to the HVAC System sub contract. The first project we connect is automatically set to be the default project for the sub contract. The lesson will also include an exercise on how to select a different project as the default sub contract project. Further, we will also learn how to modify project information on a sub contract item.

Note1: In the Create Sub Contract - Extended lesson we selected the Activity Required check box for the HVAC System sub contract. Therefore, the default project information will automatically appear on new contract items. It is probable that the default project/sub project/activity is not valid for a particular contract item, and should not be connected to it. In such an instance, it will be possible to change the default project information and enter the correct project/sub project/activity. This scenario is covered in this lesson.

Note2: Project information will not be transferred to the items that were created prior to the project connection. The connection must be established manually. This scenario is covered in this lesson.

Prerequisites: The HVAC System sub contract must have been created (in the Copying Sub Contract exercise)

Connecting a Project

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the sub contract name HVAC System.
  3. Click the Project tab and create a new record (F5).
  4. In the Project ID field, enter the necessary project.
  5. Save the information (F12).
  6. Observe that this is the default project for the sub contract.

Note: Optionally, you can define a sub project and activity sequence for the sub contract at the same time you connect the project. This scenario is covered in the following exercise.

Connecting a Project, Sub Project and Project Activity

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the sub contract name HVAC System.
  3. Click the Project tab and create a new record (F5).
  4. In the Project ID field, enter the necessary project.
  5. In the Sub Project ID field, enter the sub project.
  6. In the Activity Sequence field, enter the activity sequence.
  7. Save the information (F12).

Connecting a Project Activity

Purpose: The purpose of this exercise is to show you how to manually connect a project activity to a sub contract item.

Prerequisites: Lines and items must have been defined on the sub contract.

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the sub contract name HVAC System.
  3. Click the Items tab.
  4. Locate the line item to which a project activity is to be connected.
  5. In the Project ID field, enter the project.
  6. In the Sub Project ID field, enter the necessary sub project.
  7. In the Activity Sequence field, enter the necessary activity sequence.
  8. Save the information (F12).

Changing the Default Project

  1. Open the Sub Contract window.
  2. Populate (F2) or query (F3) for the sub contract name HVAC System.
  3. Click the Project tab.
  4. Select the row containing the project, sub project and activity you connected in the previous exercise.
  5. Right-click and click Set Default Project.
  6. Observe that the Default Project check box is selected for this project connection.

Changing Project Information on Sub Contract Item

Purpose: The purpose of this exercise is to show you how to change the default project information on a new sub contract line item.

Prerequisites: See the following list.

Note: Once the new item is saved, the default project information appears automatically.

  1. Select the new sub contract item and observe the project information that is displayed.
  2. Change the project, sub project, and/activity sequence as per your requirements. Use the List of Values in the relevant fields to select valid values.
  3. Save the information (F12).
