Creating Service Quotation from Maintenance Order—Exercises

Required Data

Create Maintenance Order

Purpose: The purpose of this exercise is to show you the required data that is used in the exercises below.

Note: You should know your serial number to work with. If not, either ask your teacher or have a look in Tips and Tricks for this course.

  1. Open the Task Distribution window, and query for your serial number.
  2. Enter your workshop code and select Create WO Structure and Plan Maintenance Order under Order Information.
  3. In the Pending Tasks tab, select the Include Task check box for the interval maintenance tasks for the turbines.
  4. Save the information.
  5. Click the Planned and Running Tasks tab.
  6. Select one of the tasks you just distributed, right-click and click Maint Order Info. The Maintenance Order window is opened.
  7. Ensure that your maintenance order is in the Initial Scope Definition status and that the distribution type is Work Order.
  8. Click the Assign Tasks tab, and then the Convenience Tasks tab.
  9. Select the Include Task? check box for the Bird Strike maintenance code.
  10. Save the record.

Create Customer

Purpose: The purpose of this exercise is to show you the required data that is used in the exercises below.

  1. Open the Customer window
  2. Query for customer 6100.
  3. Right-click and click Copy Customer.
  4. Enter your student number + customer identity (i.e., if you are student number 9 the value should be 9-6100) in the Customer field, under Copy To.
  5. Enter a name for your customer and an association number as you wish.
  6. Click OK.
  7. Click the Address tab and then click the Delivery Tax Information tab, enter a record for company 10 with the values according to the table:
    Field Value
    Customer Type External
    Currency USD
    Customer Group 0 - External
    Payment Terms 30 - 30 Days Net

Connect User to Coordinator Group

Purpose: The purpose of this exercise is to show you the required data that is used in the exercises below.

  1. Open the Coordinators window and create a new record.
  2. Enter your user ID in the Coordinator ID field.
  3. Use the List Of Values and select a coordinator group in the Coordinator Group field.
  4. Open the Sites per User window, and query for your user id.
  5. Enter your Coordinator ID in the Default Coordinator ID field.
  6. Save the record.

Main Exercise

Purpose: The purpose of this lesson is understand the different in ways in which a service quotation can be created.

Create Service Quotation from Maintenance Order

  1. Open the Maintenance Order window, and query for your serial number.
  2. Enter your customer number in the Customer Number field and click Save.
  3. Right-click on the header and click Create Service Quotation.
  4. Enter a descriptive text for what the quotation is about in the Quotation Description field.
  5. Enter a name of your customer contact regarding this quotation in the Customer Reference field.
  6. Enter EUR as the currency for this quotation in the Currency Code field.
  7. Click OK.
  8. In the Order tab of the maintenance order, you should now have a reference to a quotation number under Service Quotation.
  9. Right-click on the header, and click Service Quotation to view the quotation in the Service Quotation window.
  10. Click the Maintenance Orders tab. The maintenance orders and tasks that are connected to this service quotation are displayed.
  11. Right-click on the upper table of the Maintenance Orders tab and click Disconnect. The maintenance order is now no longer connected to this service quotation.

Create Service Quotation from Maintenance Task

  1. Navigate back to the Maintenance Order window and refresh the window. The reference to the quotation has been removed.
  2. Click the Included Tasks tab.
  3. Select the first task, right-click and then click Create Service Quotation.
  4. Enter a descriptive text for what the quotation is about in the Quotation Description field.
  5. Enter a name of your customer contact regarding this quotation in the Customer Reference field.
  6. Enter EUR as the currency for this quotation in the Currency Code field.
  7. You now have 2 options: You can either create a new service quotation, or you can connect to an already existing one for this customer.
  8. Select the Connect to existing Service Quotation check box. You can now see what other quotations are open for this customer.
  9. Clear the Connect to existing Service Quotation check box.
  10. Click OK.
  11. Scroll to the left of the tab. You can now see the quotation reference on the first task, but the second one is not connected.
  12. Select the first task, right-click and click Service Quotation to view the quotation in the Service Quotation window.
  13. Click the Maintenance Orders tab. The maintenance orders and tasks that are connected to this service quotation are displayed.
  14. Right-click on the upper table of the Maintenance Orders tab and click Disconnect. The maintenance order is now no longer connected to this service quotation.
  15. Cancel this service quotation by right-clicking, pointing at Status and then clicking Cancel.

Connect Maintenance Order to Service Quotation

  1. In the Service Quotation window, query for the service quotation you created in the first exercise above.
  2. Right-click and click Connect Service to Service Quotation. The Connect Service to Service Quotation dialog box is opened.
  3. In this dialog box you can either connect a maintenance order on order level in the Maintenance Order tab, or individual tasks in the Maintenance Tasks tab.
  4. Select the Connect Service check box in the Maintenance Order tab.
  5. Click OK. The maintenance order is now connected to the service quotation again.
