Managing Sales Contract Tenders—Exercises

Basic Data Setup

Customer

Purpose: The purpose of this exercise is to show you how to create a customer. Customer is mandatory to award the contract.

Windows:

  1. Create a customer that should be associated with your contract, if this has not already been done.
  2. Save your changes.

General exercise for Customer Setup

Required Data

Purpose: The purpose of this exercise is to show you the required data that is used in the exercises below.

For creating a sales contract see the general exercise for Creating Sales Contract

Main Exercise

Purpose: The purpose of these exercises is to show you how to manage the tendering process. This includes submitting a tender and setting tender baseline.

Submitting A Tender

  1. Open the Sales Contract window and and query for your contract.

Note that the sales contract must be in status Estimated to submit tenders.

  1. In the sales contract header, right click, then select Status and Submit Tender.

Note that the tender is by default submitted to the customer or prospect in sales contract header.

  1. Alternatively you can submit tenders for any customer connected to the contract by selecting the customer from the Customer tab, right click and select Submit Tender.
  2. The value in Revision No field will default to the active contract revision. Use List of Values to select a different revision if needed.
  3. The Submit Date field will default to the current date. A different date can be entered if needed.
  4. Leave the check box Set Tender Baseline unchecked.

Note that Set Tender Baseline can be selected as long as a tender baseline does not already exist and the selected revision status is active. See exercise Setting A Tender Baseline for details.

  1. Leave the check box Freeze Revision unchecked.

Note that Freeze Revision can be selected as long as the revision is not already frozen.

  1. Click OK to confirm.

Note that sales contract status changes to Tendered.

Option 1 - Setting A Tender Baseline

  1. Open the Sales Contract window and and query for your contract.

Note that the tender baseline can only be set when contract is in status Tendered, Awarded or Under Review and an Active contract revision exists. The tender baseline is set on the active revision.

  1. In sales contract, right-click and select Set Tender Baseline
  2. Answer Yes to set the active revision as the tender baseline

Note that the Tender Baseline will always be set for the active contract revision. After a tender baseline has been set the tender baseline check box is checked in the Sales Contract/General tab.

Option 2 - Setting Tender Baseline when submitting tender

  1. Open the Sales Contract window and and query for your contract.
  2. Right click, then select Status and Submit Tender.
  3. Tick the check box Set Tender Baseline.

Note that the tender baseline can only be set if a tender baseline doesn't already exist, and the status of the selected revision is active. Also observe that the Freeze Revision checkbox automatically is checked as a baseline should not be updateable. 

  1. Click OK to confirm.

Note that the Tender Baseline is checked in Sales Contract/General tab.
