Substituting Sales Parts—Exercises

IMPORTANT
If you are a student, it is extremely important that you set up and work within your own site to maintain your data integrity. If you work within any other site, you will compromise your own exercise data as well as the data of other students. Predictable exercise results require that your data be isolated in your own site.

Basic Data Setup

Purpose: The purpose of this exercise is to create stored sales parts and receive them into inventory so you can use them in the main exercise.

Enter Customer

Windows:
Customer

  1. Open the Customer window.
  2. Enter C.S.C. New York as a customer with XX-1000 as the customer number.
  3. Enter C.S.C. Paris as a customer with XX-1002 as the customer number.

Setting up Part Catalog

Purpose: The purpose of this exercise is to define one part as an alternate to another part.

Windows:
Part

  1. Open the Part window and query for part no.XX-18-350, Ferrari Car.
  2. Click the Alternate Parts tab and create a new record.
  3. In the Alternate Part No field, enter part no. XX-18-100, Race Car, or select it from the List of Values.
  4. Leave the Fully Interchangeable check box selected. It indicates that the relationship between the alternate part and primary part is mutual, i.e., that the primary part can also be used as an alternate to the part entered on the Alternate Parts tab.
  5. Save the record.

Basic Data for Substituting Parts

Purpose: The purpose of this exercise is to enter basic data for substitute parts.

Windows:

Issue Inventory Part

  1. Open the Sales Part window.
  2. Enter Race Car as a sales part with XX18-100 as the sales part number.
  3. Enter Ferrari Car as a sales part with XX18-350 as the sales part number.
  4. Create inventory locations.
  5. Create corresponding inventory parts.
  6. Receive a sufficient number of parts of each into stock.
  7. Open the Alternate Sales Parts Base Data window.
  8. Create a new record.
  9. Enter your site. Also enter Ferrari Car, XX-18-350, as the original sales part.
  10. Right-click on the row and click Copy Alternate Parts. The Copy Alternate Parts dialog box appears. Click OK to retrieve all substitutes allowed for the site and sales part shown in the dialog box (the same as in the Site and Sales Part No fields). In this case, you will copy one substitute part (Race Car, XX-18-100).
  11. Save the record.

Note: If you had not previously established XX-18-100 as an alternate part to XX-18-350 on the Alternate Parts tab of the Part window, a message would have appeared informing you of that fact and asking you whether you wanted to continue. If you clicked Yes, the system would create a record that connects the substitute part to the sales part on the Alternate Parts tab of the Part window.

  1. Search for Ferrari in the Issue Inventory Part window, and issue enough parts so that only one car remains in stock.

Basic Data for Superseded Parts

Purpose: The purpose of this exercise is to enter basic data for superseded parts.

Windows:

  1. Open the Sales Part window and create XX-18-500, Hot Rod Freak Car, and XX-18-600, Funky Car, as stored sales parts.
  2. Open the Inventory Locations window and create inventory locations.
  3. Open the Inventory Part window and create corresponding inventory parts.
  4. Open the Receive Inventory Part window and receive a sufficient number of parts of each into stock.
  5. Open the Sales Part window and search for XX-18-600, Funky Car.
  6. Click the Misc Part Info tab. Under Replacement Part, enter XX-18-500 as a replacement part, and then enter today's date.

Required Data

Entering Customer Order for Substituting Parts

Purpose: The purpose of this exercise is to set up the basic data required for running this particular functionality.

Windows:
Customer Order

  1. Open the Customer Order window.
  2. Enter a customer order with C.S.C. Paris (XX-1002) as the customer and with a wanted delivery date of one month from now. Select QO as the order type. Use your user ID as the coordinator. Note the order number: __________.
  3. Enter an order line with five pieces of sales part XX-18-350, Ferrari Car.

Entering Customer Order for Superseded Parts

Purpose: The purpose of this exercise is to set up the basic data required for running this particular functionality.

Windows:
Customer Order

  1. Open the Customer Order window.
  2. Enter a customer order with C.S.C. New York (XX-1000) as the customer and with a wanted delivery date of one month from now. Select QO as the order type. Use your user ID as the coordinator. Note the order number: __________.

Main Exercise

Substituting Parts

Purpose: The purpose of this exercise is to show you how to find another sales part when the ordered parts are unavailable.

Windows:
Customer Order

  1. Open the Customer Order window.
  2. What message appears when you try to order five Ferrari Cars (XX-18-350) for C.S.C Paris?
  3. In the Customer Order window, select the order line, right-click, and then click Substitute Parts.
  4. Which available parts are displayed in the Substitute Sales Part window? What information appears in the Full Qty Date field?
  5. C.S.C. Paris has an urgent need for two cars and wants to await the delivery of the remaining three race cars. The customer accepts the single Ferrari Car in stock and one Race Car. Choose the Ferrari Car and the Race Car, and click OK. How many order lines will be generated?
  6. Release the order.

Superseded Parts

Purpose: The purpose of this exercise is to show you how to replace an older sales part with a newer one.

Windows:
Customer Order

Note: IFS Racing, Inc. has decided to stop selling XX-18-600, Funky Car, and has replaced the part with a cooler version called XX-18-500, Hot Rod Freak Car. C.S.C. New York wants to buy XX-18-600, Funky Car.

  1. Open the Customer Order window.
  2. What happens when you try to enter the original sales part number on the order line?
  3. Enter the ordered quantity, and save the order line.
  4. Release the order, and continue in the order flow.
