Non Conformance Reporting (NCR) and Corrective/Preventive Actions (CAPA)—Key Exercises

IMPORTANT
It is extremely important that you set up and work within your own site to maintain your data integrity. If you work within any other site, you will compromise your own exercise data as well as the data of other students. Predictable exercise results require that your data be isolated in your own site.

Basic Data Setup

Non Conformance Report Basic Data

Purpose: The purpose of this exercise is to verify the existence of basic data required for non conformance reporting and corrective/preventive actions.

Windows:

  1. Open the Non Conformance Report Basic Data window.
  2. Populate all the tabs in the window and verify that there exists at least one defined Severity, Disposition Code, Location, Source, Root Cause and Non Conformance.

Non Conformance Report Object Connections

Purpose: The purpose of this exercise is to verify the existence of basic data required for non conformance report object connections.

Windows:
Object Connections

  1. Open the Object Connections window.
    Note: Only a system administrator can access and configure the non conformance report object connections in the Object Connections window.
  2. Verify that the LU Name ShopOrd is non conformance reporting aware.
    Note: This means that NcrObjectConnection^ should be present in the Service List column for the LU Name ShopOrd.

Main Exercises

Purpose: The purpose of these exercises is to show how to create a non conformance report, create and process a correction action to it as well as to create and process a corrective/preventive action that is related to the NCR.

Create a Non Conformance Report from any IFS Applications business object

Purpose: The purpose of this exercise is to show how to create a non conformance report from any IFS Applications business object.

Windows:

Non Conformance Report

  1. Open the Shop Order window and search for the required shop order.
    Note: Any shop order would do in this case
  2. On the Attachments panel, click Non Conformance Report.
  3. While the cursor is in the Attachments panel field, right-click and then click New. The Create NCR Assistant opens.
  4. In the NCR No field, enter a unique NCR identifier, or leave it blank to let the system generate one for you.
  5. In the Non Conformance Code field, enter a value or click List to select one from the List of Values.
  6. In the Severity ID field, enter the severity of the non conformance, or click List to select one from the List of Values.
  7. In the Responsible Person ID field, enter a value or click List to select one from the List of Values.
  8. In the Description field, enter a description of the detected non conformance. Entering a value in this field is mandatory.
  9. Click Next.
  10. To attach a picture to the non conformance report, click Browse to lookup and add a picture or drag and drop a picture.
  11. Click Next.
  12. In the Source field, enter a value based on how the non conformance was detected, or click List to select one from the List of Values.
  13. In the Location field, enter a value for the based on where the non conformance was detected, or click List to select one from the List of Values.
  14. Click Finish.

Note: In step 2, if you need to connect an already existing NCR to the shop order, click Attach and search for the required NCR. Select it and then click OK to connect it to the shop order.

Create and Process a Correction Action

Purpose: The purpose of this exercise is to show how to create and process a correction action in order to fix a non conformance.

Windows:

  1. Open the Non Conformance Report window and search for the NCR that you want to process. The NCR will be in the Planned status.
  2. In the Responsible ID field, enter a value or click List to select a value from the List of Values.
  3. Click Save.
  4. On the header, right-click and then click Release for Disposition. The status of the NCR changes to Released and a correction action line is created in the Actions tab.
  5. Look in the Action Information table in the header to check the next step to be performed in order to process the correction action. In this case it is to do the disposition of the correction action.
  6. In the Corrections area under the Actions tab, click Navigate to Disposition.
  7. In the Disposition Code field, enter a value or click List to select one from the List of Values.
  8. In the Disposition Responsible Name field, enter a value or click List to select one from the List of Values.
  9. In the Disposition Notes field, enter a note related to the disposition.
  10. In the Correction Responsible ID field, enter the relevant ID. If you do not know who this is, enter the same responsible person as in the header.
  11. Click Save.
  12. Select the correction action line, right-click and then click Disposition. The status of the correction action line changes to Dispositioned and the NCR status changes to In Progress.
  13. Click Navigate to Correction.
  14. In the Correction Notes field, enter a note related to the correction.
  15. In the Verification Responsible ID, enter a value or click List to select one from the List of Values. If you do not know who this is, enter the same responsible person as in the header.
  16. Click Save.
  17. Select the correction action line, right-click and then click Correct. The status of the correction action line changes to Corrected.
  18. Click Navigate to Verification.
  19. In the Verification Notes field, enter a note related to the verification.
  20. Click Save. The status of the correction action line changes to Verified and the status of the NCR header changes to Closed.

Note: The NCR header status changes to Closed when the status of all the correction action lines change to Verified.

Create and Process a Corrective Action

Purpose: The purpose of this exercise is to show how to create and process a corrective/preventive action (CAPA), which eliminates the root cause of the related NCR.

Corrective and Preventive Action

  1. Open the Non Conformance Report window and search for the NCR that you want to create a corrective action for.
  2. Right-click on the header or on the correction action line and then click Create Corrective Action. A corrective action line is created in the Corrective and Preventive Actions (CAPA) area.
  3. Select the corrective action line, right-click and then click View Corrective Action (CAPA). The Corrective and Preventive Action window opens with the record created and the status set as Created. The NCR Information area gets pre-populated with Information with regard to the NCR and the related correction action.
  4. In the Responsible Person ID field, enter a value or click List to select one from the List of Values.
  5. In the Target Date field under the Completion Details area, enter a target completion date.
  6. In the Responsible ID field under the Completion Details area, enter the id of the completion responsible person or click List to select one from the List of Values.
  7. Click Save.
  8. Right-click and then click Release. The status changes to Released.
  9. In the Completion Notes field under the Completion Details area, enter notes about what has been done to complete the corrective action.
  10. In the Responsible ID field under the Verification Details area, enter a value or click List to select one from the List of Values.
  11. Click Save.
  12. Right-click and then click Correct. The status changes to Corrected.
  13. In the Verification Notes field under the Verification Details area, enter notes about what has been done to verify that the corrective action has been carried out.
  14. In the Responsible ID field under the Effectiveness Details area, enter a value or click List to select one from the List of Values.
  15. Click Save.
  16. Right-click and then click Verify. The status changes to Verified.
  17. In the Effectiveness Notes field under the Effectiveness Details area, enter notes about what has been done to evaluate the effectiveness of the corrective action.
  18. Click Save.
  19. Right-click and then click Evaluate Effectiveness. The status changes to Closed.
