Completing and Closing Projects—Exercises

Required Data

Executing Activities

Purpose: The purpose of this exercise is to familiarize you with the data that must be in place before you can perform the exercises below.

  1. Approve and start your project.
  2. Release and execute some activities in your project.
  3. To be able to close the financial project, create some financial transactions preposted with your project ID, e.g., by reporting time or purchasing to your project. These financial transactions must exist as vouchers in the general ledger.
  4. Complete your activities.

Main Exercise

Purpose: The purpose of these exercises is to show you how to complete and close a project, including the corresponding financial project.

Completing a Project

  1. Open the Project window. (Alternatively, you can complete your project in the Projects window or the Navigator in the Project Navigator window.)
  2. Query for your project.
  3. Right-click anywhere in the header, point to Status, and then click Complete. You are prompted to indicate whether you would like to complete the project.
  4. Click Yes.
  5. If any activities do not have the Closed status, you will be prompted to decide whether you want to set all activities to closed. Click Yes to set all activities to the Closed status.

Note: If you were to click No instead, no status changes would take place on the activities or project.

  1. Note that the project also has the Completed status.
  2. Click the General tab. Note that the project's completion date, which is today's date, appears as the value in the Actual Finish field.

Closing a Project

  1. Open the Projects window, and query for your project.
  2. Select your project, right-click, and then click Project Completion. The Project Completion window appears.
  3. Click OK. A window appears with information about the voucher on which your project has been completed, including the voucher number, type, and date.
  4. Click OK. Your financial project now has the Completed status.
  5. Open the Project window. Note that the project now has the Closed status.
  6. Click the General tab. Note that the project's closure date, which is today's date, appears as the value in the Close Date field.
