Additional Exchange Scenario Information—Extended Exercises

IMPORTANT
If you are a student, it is extremely important that you set up and work within your own site to maintain your data integrity. It is also recommended to add a prefix to the data you create in this lesson. 

Required Data

Component Repair Order

Purpose: The purpose of this exercise is to show you the required data that is used in the exercises below.

  1. Open the Component Repair Order window.
  2. Create the component repair order that will be used to exchange parts.

Main Exercise

Purpose: The purpose of this lesson is to learn how to perform additional changes as part of the exchange process. You will learn how to scrap a part at the customer's site, change the exchange type when an exchange scenario changes, manage accessories for exchange parts, view information logged against the exchange or CRO and add sales for non standard costs during the exchange.

Scrap Part at Customer

Purpose: The purpose of this exercise is to familiarize you with the process for scrapping parts dispatched to a customer.

  1. Open the Component Repair Order window and search for your order number.
  2. Click the Exchanges tab.
  3. Select the exchange line with the InExchange status for which you want to scrap parts, right-click and then click Scrap at Customer. The Scrap at Customer dialog box opens.
  4. Enter the quantity to scrap for the relevant part.
  5. Enter a cause for scrapping the part by selecting a valid value from the List of Values.
  6. Enter a note.
  7. Save the information (F12).

Modify the Exchange Code

Purpose: The purpose of this exercise is to change the type of exchange scenario. This flexibility is useful when there is a change in the exchange process for parts.

  1. Open the Component Repair Order window and search for your order number.
  2. Click the Exchanges tab.
  3. Select the exchange line for which you want to change the exchange code, right-click and then click Modify Exchange Code. The Modify Exchange Code dialog box opens.
  4. Enter the new exchange code by selecting a valid value from the List of Values.
  5. Save the information (F12).

Manage Exchange Accessories

Purpose: The purpose of this exercise is to manage the shipping and receiving of accessories that usually accompany the parts sent to the customer, e.g., power cables and manuals.

  1. Open the Component Repair Order window and search for your order number.
  2. Click the Exchanges tab.
  3. Select the exchange line to which you want to add accessories, and then click the Accessories sub tab.
  4. Create a new record (F5).
  5. In the Description field, enter the description of the accessory.
  6. In the Received Quantity field, enter the quantity received.
  7. In the UoM field, enter the unit of measure for the accessory.
  8. Select the Dispatch Required check box if the accessories are required with the exchange parts.
  9. Select the Receipt Required check box if the accessories need to be returned.
  10. Save the information (F12).
  11. Right-click on the accessory line and then click Dispatch Accessories. The Confirm Return of CRO Line dialog box opens.
  12. In the Dispatched Qty field, enter the dispatched quantity and then click OK.
  13. Select the Received check box to confirm receipt.

Manage Tracking Information

Purpose: The purpose of this exercise is to view tracking information logged against the exchange line.

  1. Open the Component Repair Order window and search for your order number.
  2. Click the Exchanges tab.
  3. Select the exchange line for which you want to view tracking information, and then click the Tracking Info sub tab.
  4. View information on all the serial parts associated with the selected exchange line.
  5. To confirm a receipt of a part, right-click on the line and click Confirm Receipts.

Manage Journal Information

Purpose: The purpose of this exercise is to view the journal entries that are generated for the exchange line and add notes where necessary.

  1. Open the Component Repair Order window and search for your order number.
  2. Click the Exchanges tab.
  3. Select the exchange line for which you want to view journal entries, and then click the Journal sub tab.
  4. View information on the different actions carried out on the exchange line.
  5. To add a note, select the relevant journal entry, right-click and then click Notes.
  6. Add a note and click OK to save the information. The Notes Exist dialog box will be selected.

To view journal entries generated for the CRO:

  1. Open the Component Repair Order window and search for your order number.
  2. Click the Journal tab.
  3. View information on the different actions carried out on the CRO. The journal source can be used to identify where the change took place, e.g., status change on a repair line.
  4. Add a note to a journal entry as described in the previous steps.

Manage Sales Lines

Purpose: The purpose of this exercise is to learn how to manually add sales lines to an exchange line. This is useful when you need to add additional costs for the loan item, for instance, where you charge the customer for the utility or for repairs to returned parts if it doesn't form part of the standard cost.

  1. Open the Component Repair Order window and search for your order number.
  2. Click the Exchanges tab.
  3. Select the loan exchange line for which you want to add sales lines, and then click the Sales Lines sub tab.
  4. Create a new record (F5).
  5. In the Cost Category field, select the relevant cost category.
  6. In the Service Type field, enter the type of service being performed.
  7. In the Our Price field, enter the sales line price.
  8. Save the information (F12).
