Internal Ledger Entry—Key Exercises

IMPORTANT
It is extremely important that you set up and work within your own company to maintain your data integrity. If you work within any other company, your exercises will not function as intended and the data of other students might be affected. Predictable exercise results require that your data be isolated in your own company.

Basic Data Setup

You need to set up some basic data to work with internal ledgers. If you have not yet done this, the following exercise will be useful:

Required Data

Purpose: To prepare data to be used in the Internal Manual Postings exercises. 

  1. Use voucher types with the All Ledger option.
  2. Set up a cost account to use manual internal posting methods.

Internal Manual Postings

Enter Internal Manual Postings—Voucher Entry

Purpose: The purpose of this exercise is to show you how to enter internal manual postings for an entered manual voucher.

Windows:

  1. Create a new voucher. 

  2. Enter a row using the cost account using the voucher type connected to the manual internal posting method, and enter an amount. 

  3. Enter a new row using an account that does not use Manual method, and balance the amount.

  4. Try to save your changes.

  5. A message appears indicating that manual internal postings are missing. Click OK.

  6. A new window appears Manual Internal Postings. Choose option Percentage in the field Entry Based On. Enter two rows with manual split to make the additional internal postings, enter code part values, and enter 50 as the percentage for each row.

  7. Click Save, and then click OK.

Note: You must enter code part values if a code part uses the Manual posting method. Instead of entering all manual postings when saving, you can right-click and then click Internal Manual Postings for each row. The Add Internal check box is checked if entering manual postings is required.

Enter Internal Manual Postings—Supplier Invoice Entry 

Purpose: You have entered the postings for a supplier invoice. You are going to enter internal manual postings for this invoice.

Windows:

  1. Create a new record.

  2. In the Supplier field, enter a supplier, or select an existing one from the List of Values.

  3. In the Invoice Identity field, enter the invoice number.

  4. In the Gross Amount field, enter 400.

  5. Click the Postings tab.

  6. Click the Account field, and create a new record.

  7. Enter the cost account that was set up to use the Manual method, and enter the amount that is displayed in the Balance field in the Amount field.

  8. Try to save your changes.

  9. A message appears indicating that manual internal postings are missing. Click OK.

  10. A new window appears Manual Internal Postings. Choose option Amount in the field Entry Based On. Enter two rows with manual split to make the additional internal postings, enter code part values, and enter amounts so that the manual postings balance the amount of the base transaction.

  11. Click Save, and then click OK.

Note: You must enter code part values if a code part uses the Manual posting method. Instead of entering all manual postings when saving, you can right-click and then click Internal Manual Postings for each row. The Add Internal check box is checked if you are required to enter manual postings.

Manual Postings

Enter Manual Postings—Balanced

Purpose: The purpose of this exercise is to show you how to enter a manual voucher exclusively for an internal ledger.

Windows:

  1. Create a new voucher.
  2. Select a voucher type. No default value will appear automatically.

Note: The voucher type must be set up to be used specifically for the internal ledger and must belong to function group M, Manual vouchers.

  1. Enter a row using the cost account that was set up to use the Manual method, and enter an amount.

  2. Enter a new row using an account that does not use the Manual method, and balance the amount.

Note: You can enter only the accounts that were set up as Include in Internal Posting Methods.

Enter Manual Postings—Unbalanced

Purpose: The purpose of this exercise is to show you how to enter an unbalanced manual voucher exclusively for an internal ledger. 

Windows:

  1. Create a new voucher.

  2. Select a voucher type. No default value will appear automatically.

Note: The voucher type must be set up to be used specifically for the internal ledger, and the Balance MandatoryVoucher Type.

  1. Enter a row using the cost account that was set up to use the Manual method, and enter an amount.

  2. Save your changes.

Create Periodical Allocation for a Voucher

Purpose: The purpose of this exercise is to show you how to allocate rental costs evenly over three months.

Windows:

  1. Create a new voucher.

  2. Select a voucher type. No default value will appear automatically.

Note: The voucher type must be set up to be used specifically for the internal ledger, and the Balance Mandatory Voucher Type.

  1. Enter a row using the cost account that was set up to use the Manual method, and enter an amount.

  2. Select the voucher row where you just entered the cost account, right-click, and then click Periodical Allocation. The Period Allocation window is displayed on the screen.

  3. You are prompted to enter values in the From Period and Until Period fields. In the From Period field, enter the current period. In the Until Period field, enter the period that is two periods after the current one. "

Note: If the Distribute Amount? check box is checked, you will distribute the costs evenly over the specified three months.

  1. Click New to see the allocation. If it is correct, click OK, and then click Save.

Note: The Periodical AllocationVoucher Entry.

Update Internal Ledger

Update Voucher to Internal Ledger from the Internal Ledger Hold Table

Purpose: The purpose of this exercise is to show you how to update some of the previously created vouchers that are stored in the hold table.

Windows:

  1. Query for one of the vouchers that were created above.

  2. Make sure that the status of the voucher is Approved.

  3. Right-click in the voucher header, and then click Instant Update Internal Ledger. The update window now shows all vouchers that can be updated.

  4. Click OK.

Note: Update Internal Ledger can be done using either the Instant Update Internal Ledger Internal Voucher Entry,Update IL Vouchers.
