Purpose: The purpose of this lesson is to learn how to create a structure of documents using IFS/Document Management.

Creating a Document Structure

In this exercise, we are going to connect the Addendum to the Assembly Instructions as a child document.

  1. Open the Document Revision window from the Navigator.
  2. Perform a query.
  3. Insert the following search criteria:

Document Class XXINSTR
(where XX is your initials)
Title Assembly Instruction
  1. Click OK. The Assembly Instruction that you created in the previous exercise should be populated in the window.
  2. Click the Consist of tab.
  3. Create a new row in the table.
  4. In the Document Class field, select XXINSTR from the List of Values (where XX is your initials).
  5. Select the accurate document number of the addendum from the List of Values.
  6. In the Document Revision field, select the correct revision (A1) from the List of Values. 
  7. Review that the information is correct:
Document Class Title Document Revision
XXINSTR
(where XX is your initials)
Addendum to Assembly Instruction

  1. Save (F12).

Result: The Addendum is now linked to the Assembly Instruction as a child document, i.e., the Assembly Instruction consists of the Addendum document.

Navigating in a Document Structure

This exercise will teach you how to navigate in a document structure.

  1. Open the Document Revisionwindow and click the Consist of tab.
  2. Select the row with the child document (i.e. the Addendum), and right-click and then click Next Level.

Note: The tab is populated with the child document.

  1. Click the Where Used tab and view the information.

Note: The  Where Used tab shows information about the document's parents. In this case, the parent document is the Assembly Instruction, i.e., the Addendum is used in the Assembly Instruction.

  1. Select the Assembly Instruction, and right-click and then click Document Revision.

Note: The Document Revision window opens, displaying the Assembly Instruction.
