Process Employee Benefits Requests—Exercises

Basic Data Setup

Purpose: The purpose of this exercise is to set up the basic data required for processing the employees benefits requests. To enter this data, follow the instructions in the Maintain Benefit Plans exercise. If you have completed this exercise, the data you need should already be in the database, and you can proceed directly to the main exercises.

Main Exercises

View benefit plan requests

Purpose: The purpose of this lesson is to show you how to overview the incoming requests for new and changed benefit plan enrollment.

Windows:

  1. Open the Change Request window.

  2. Optional: Open the Query dialog and define (and save) a query that will select a relevant part of the requests. 

  3. Open the Request ID list box and use the sort and order feature available on clicking the field titles.

  4. Select a request in state Confirmed and view the requested changes.

  5. Note how the tabs are enabled or disabled depending on the type of request.

  6. Open the overview window and enter the same query as you did in the previous window.

  7. Use the right mouse button option to open the details window. 

Process employee requests

Purpose: The purpose of this exercise is to show you how to process a request for a new or changed enrollment that has been entered in the self-service window.

  1. Open and populate the Benefit Change Requests window.
  2. Open the Request ID list box and select the request to process.
  3. View the requested changes and if the information is not complete, set the request in state Investigated (use the right mouse button option). Let the request be in the Investigated state until you have got the needed information and are ready for authorizing the request.. 
  4. Authorize the request by using the right mouse button option.
  5. Open the Employee window and verify that the request has been added to the employee's plan information.

Print information to provider, payroll and employee

Purpose: The purpose of this exercise is to show you how to produce the information needed for the provider, the payroll administrator and the employee.

  1. Open and populate the Change Request window.
  2. Select an authorized request from the list box and then select the Print Payroll Report option in the right mouse button menu.
  3. Enter the date interval you would like to view and then select the Preview option (in case you don't have a printer at hand).
  4. Try the Print Provider Report option.
  5. Open and populate the Benefit Change Requests window.
  6. Select a couple of authorized requests for an employee and then print, or preview, the reports again.
  7. Select the Print Employee Report option and enter dates before and after the requests effective from dates.
