Operating Time Clock—Exercises

Basic Data Setup

Purpose: The purpose of this exercise is to set up the basic data required for running this functionality. To enter this data, follow the instructions in the Administering Employees, Administering Wage Codes, Administering Work Hour Rules, and Administering Working Hours Schedules exercises. If you have completed these exercises, the data you need should already be in the database and you can proceed directly to the main exercises.

Time Clock Basic Exercises

Performing Basic In and Out Clockings 

Purpose: The purpose of this exercise is to help you understand attendance reporting using Time Clock.

Windows:

Time Card-Day

  1. Open the Time Clock Terminal window and create a new record. Select your user ID. In the Time Clock Type field, select TIMREP and in the Default Company field, select 10. Save the record.
  2. Open the Time Clock window and click the In button.
  3. Enter your employee number, and then click OK to perform a clocking. The time is recorded automatically. To change the clocking, you need access to IFS/Time & Attendance.
  4. Click Out. Enter your employee number, and then click OK.
  5. Click In Misc, and then click In Comp.  
  6. Enter your employee number, and click OK. Click the Out button, Enter your employee number and click OK.
  7. Click In Misc, and then click In Out. You cannot change the clocking performed today. However, you can perform a future or past clocking. Perform a clocking by entering a future date and change the day type using the List of Values.
  8. Open the Time Card-Day window to view the results in the Result, Interval and Clocking tabs.

Reporting Absence

Purpose: The purpose of this exercise is to help you understand absence registration using Time Clock.

Windows:
Time Clock

  1. Click In Misc and then click In Abs. Enter your employee number, enter an absence code using the List of Values. Then click OK.
  2. Click Out Misc and then click Future Abs. Record a future vacation. Click Time Card and select the week of the vacation you just recorded. Check to see whether the time has been registered as vacation.
  3. Click Out Misc and then click Out Abs. Enter your employee number. Using the List of Values, select the absence code that you used when clocking in as absent in this exercise. Click OK.

Miscellaneous Exercises

Purpose: The purpose of this exercise is to help you understand the basic functionalities of Time Clock.

Windows:
Time Clock

  1. Click Schedule, enter the employee number assigned to you for this exercise, and then click OK.
  2. Change the date in the To field to cover an entire month.
  3. Click Schedule to view your schedule for the month. Note that this schedule can be printed.
  4. Click Close to return to the Time Clock window.
  5. Click Arrival to see the time at which you arrived.
  6. Click Balance to view your balances for flex time, compensatory time, vacation, or overtime.
  7. Click Name to see the name associated with a specific employee ID.
