Communicate Using IFS Talk—Exercises

Basic Data Setup

User Groups

Purpose: The purpose of this exercise is to setup the basic data required for running this particular functionality.

Windows:
Group Subscription

  1. Open the Group Subscription window.
  2. Ensure that the following user groups are created.
    User Group Access Level Persons in Group
    Site Managers Restricted ALAIN
    DAMON
    Project Team Public ALEX
    MIKE
    RALF

Main Exercise

Purpose: The purpose of this lesson is to show how scribbles can be posted on IFS Talk.

Windows:
IFS Talk

Post New Scribbles from IFS Talk Message Board

  1. Log into the system as DAMON.
  2. Open the IFS Talk window.
  3. Type a message in the call out.
  4. Click Attach a file to attach a document to the scribble.
  5. If you want to send the message to all persons, select All as the audience. If you only want to send the message to your team members or site managers, select Project Team or Site Managers as the audience.
  6. Select High as the importance of the scribble.
  7. Click Say It! to post the scribble.

Post New Scribbles from Application Window

  1. Log in to the system as DAMON.
  2. Open the Time Card Day window. Consider a scenario where site manager Damon is evaluating the project time reporting of team members using the Project Time Reporting window.
  3. Click IFS Talk in the task bar to open the IFS Talk message board.
  4. Type a message in the call out.
  5. If required, click Attach a file to attach a document to the scribble.
  6. If required, click Grab Screen to attach an image of the screen to your message.
  7. If you want to send the message to all persons, select All as the audience. If you only want to send the message to your team members or site managers, select Project Team or Site Managers as the audience.
  8. Set the importance of the scribble to High, Low or Normal by selecting the relevant option.
  9. Click Say It! to post the scribble.

View Scribbles

  1. Log into the system as DAMON.
  2. Open the IFS Talk window.
  3. You can filter the scribbles listed to view the scribbles from selected audiences. The user groups Site Managers and Project Team will be available as filters.
  4. If required, click Thread to view the thread of scribbles connected to each scribble.
     
  5. Now, log into the system as ALEX.
  6. Go to the IFS Talk window.
  7. Note that only Project Team will be listed in the Filter by Audience pane. That is, you are not allowed to view scribbles posted by the Site Managers group, because it has restricted access (user group is restricted).

Reply Scribbles

  1. Log into the system as DAMON.
  2. Open the IFS Talk window.
  3. You can filter the scribbles listed to view the scribbles from the required audience as shown in the previous procedure. You can also use the search option to select scribbles.
  4. Click Reply.
  5. Type a message in the call out.
  6. If required, you can attach a document to the message.
  7. Select the audience which should receive the reply from the list.
  8. Click  Say It! to post the reply.

Manage Outdated Scribbles

  1. Log into the system as DAMON.
  2. Open the Scribbles window.
  3. Select outdated and/or unnecessary scribbles.
  4. Right-click and click Archive. This will ensure that the scribble will not be visible in the IFS Talk window.
  5. If required, you can again set to Release any archived messages.
