Maintain Employee Deviation Cycle

Explanation

This activity is used to register employee deviation cycles. The employee deviation cycle is used to create a personalized schedule for an employee, or to enter absence information. The deviation cycle information overrides the employee's normal cycle schedule (or day-by-day schedule). 

A deviation cycle is used to handle:

The order in which the working hours information is prioritized by the system is as follows:

  1. Employee Deviation Days 
  2. Substitute Schedule (Public Holidays etc.)
  3. Employee Deviation Cycle
  4. Working Hours Schedule (cycle or day-by-day)

Note: If time has already been reported by an employee on a particular day for which the deviation is effective, the attendance result is required to be recalculated in the Time Card Day window in order for the deviation to be effective on that day.

The deviation cycle information will override the normal working hours information for the employee.

Procedure 

  1. In the Employee Deviation Cycles window, press New and enter the employee for whom you wish to create a deviation cycle.
  2. Enter the Cycle Length, i.e., the number of days before the cycle repeat it self. Normally this is 7 days, or a multiple of 7 (14, 21 etc.)
  3. Enter the total deviation interval by entering Valid From and Valid To dates. Save the information.
     
  4. Right-click to Employee Deviation Cycle, enter the enter the detail information. You can have both a switch in day types and a planned absence on the same date. In order to plan a switch in day types, simply enter the new day type using the List of Values. Planned absence can be scheduled with either start and end times or by using number of hours per days for the selected days. 
  5. When using start and end times: If the deviation schedule is used for a planned absence such as parental leave, that does not have a day type, you must enter information in the Absence From Time, Absence From Day,  Absence To Time, Absence To Day and Absence Wage Code fields. Note: When using this option, you cannot enter information in the Absence Hours field. 

    When using the number of hours per day: If the deviation schedule is used for a planned absence such as parental leave, that does not have a day type, you must enter information in the Absence Hours, and Absence Wage Code fields. Note: When using this option, you cannot use the Absence From Time, Absence From Day,  Absence To Time, and Absence To Day fields. Once the cyclical deviations are entered, click Save. 

    A third option is to schedule absence as a percentage per day or a certain number of hours per day. This method is used in cases where the absence is the same every day of the cycle. Right-click and select Create Absence Per Day. Enter the absence per day, using either percentage or hours, and the corresponding wage code. Click OK. The absence will be applied to the entire time period.
     

  6. If the employee already has a row in the Employee Deviation Cycles window, you can select the row and right-click to New Employee Deviation Cycle.
