Register Absence using Approved Requests

Explanation

This activity is used to register absence using approved absence requests of employees. You can either submit absence requests for individual employees in the Absence/Absence Request tab or use the Submit Absence Request assistant to submit multiple absence requests for multiple employees simultaneously.

Note: When an absence request is approved, it will automatically create absence records in the Absence/Absence Registration tab provided that the Register Absence on Request Approval check box is selected for the absence type in the Absence Configuration window.

Prerequisites

In order to perform this activity, employees should already have approved absence requests listed in the Absence/Absence Request tab.

System Effects

As a result of this activity, an absence record corresponding to the request will be created in the Absence/Absence Registration tab for the employees.

Procedure

Perform the following procedure to submit absence requests for individual employees

  1. Open the Absence window.
  2. Query or populate to select an employee for the Employee ID field.
  3. Go to the Absence Request tab.
  4. Select the absence request which you want to submit, right-click and click Submit.

Perform the following procedure to submit absence requests using the Submit Absence Request assistant.

  1. Open the Absence/Absence Request tab.
  2. Right-click and click Submit Absence Request to open the Submit Absence Request assistant.
  3. Specify a date range using the Date From and Date To fields. E.g. If you want to register absence using all the absence requests approved for the year 2012, enter 1st Jan to 31st Dec 2012 as the date range.
  4. Click Next to go to the next step. All the approved absence requests of employees for the period selected in step 5 will be listed.
  5. Check the Select check box to select the the records that should be submitted as absence.
  6. Click Finish to register the absence.

Perform the following procedure to submit absence requests using the My Absence Calendar window.

  1. Open the My Absence Calendar window.
  2. In the header, find the relevant employee (it can be you or one of the employees you have access to). Employee's calendar will be loaded.
  3. On the Request tab, right-click the relevant absence request and click Submit.

Note: Absence limits allocated for the absence type used will be automatically reduced when the absence request is submitted.
