Manage Posting Proposal —Exercises

IMPORTANT
It is extremely important that you set up and work within your own company and with your own supplier to maintain your data integrity. If you work with any other objects, your exercises will not function as intended and the data of other students might be affected. Predictable exercise results require that your data be isolated in your own company.

Basic Data Setup

Purpose: The purpose of this exercise is to set up the supplier to use the supplier invoice work flow feature.

Required Data

Preliminary Supplier Invoice

Purpose: The purpose of this exercise is to create a preliminary supplier invoice that will be used in the main exercise.

Main Exercise

Add and Edit Postings in the Posting Proposal

Purpose: The purpose of this exercise is to add and change postings in the posting proposal.

Windows:

  1. Open the Manual Supplier Invoice window and query for your invoice.
  2. Right-click and then click General Info. Make sure that you are the invoice recipient for this invoice. Close the dialog box. 
  3. Right-click and then click Posting Proposal. The Posting Proposal window opens. The postings be entered in this window. The posting suggestion will be reviewed by all the authorizers before it is finally posted.
  4. Create a new record with postings. Enter an account, and the amount in the Amount Debit field. If the entered amount is the same as the value in the Balance field, the proposal will change from the Unbalance status to the Balance or AwaithAuth status.
  5. Now you can modify postings and amounts in this dialog box. The posting suggestions will be reviewed by all the authorizers before it is finally posted.
  6. Click View Cost Postings tab. Complete posting information will be displayed.

Note: The invoice status will not change even if it is balanced, and the company is set up to create postings at invoice entry. This is a posting suggestion.

Check and Correct Authorizers for a Posting Proposal

Purpose: The purpose of this exercise is to add and change authorizers in a posting proposal.

Windows:
Posting Proposals

  1. Populate the Posting Proposals window, and select your invoice. Right-click and then click Posting Proposal.
  2. In the Posting Proposal window, click the Authorize tab. If you have added your rules correctly, you should be added automatically as the authorizer. In the lower section, the applied approval rule is displayed. This should be the rule you have added.
  3. In the lower part of the window, you can add or delete the authorizers. Add a new authorizer in the lower part of the window. If the List of Values does not show any authorizer IDs other than yours, go back to the Basic Data Setup section above and create a new authorizer.
  4. When new authorizers are created in the lower part of the window, they are also added in the upper part. The reason is that in the upper part gives a summary per authorizer and role.
  5. Try to delete the added authorizer.   

Period Allocation of Supplier Invoice

Purpose: The purpose of this exercise is to allocate an expense over several periods.

Windows:

This window can also be reached from the Manual Supplier Invoice window by right-clicking and then clicking Posting Proposal.

  1. Populate the Posting Proposals window and select your invoice. Right-click and then click Posting Proposal.
  2. Select the posting line, right-click and then click Period Allocation.
  3. Enter data for the period allocation. 

User defined Pseudo Codes

Purpose: The purpose of this exercise is to define pseudo codes that will be unique for a user.

Windows:

This window can also be reached from the Manual Supplier Invoice window by right-clicking and then clicking Posting Proposal.

  1. Populate the Posting Proposals window and select your invoice. Right-click and then click Posting Proposal.
  2. Select the posting line, right-click and then click Add Pseudo Codes .
  3. Enter data for your pseudo code, and click Save
  4. Click OK to close the window.
