Send Document by E-Mail—Extended Exercises

Required Data

This exercise requires that you have Microsoft Outlook installed on your computer, with an e-mail account for the user that you are using.

Main Exercise

Purpose: The purpose of this exercise is to show how a document file can be sent directly from IFS Document Management as an attachment in an e-mail.

Sending a Document by E-Mail

  1. Open the Document Revisions window.
  2. Query for the search criteria shown below.

  1. Select the document revision. Then right-click and click Send by E-mail.
  2. In the  E-mail window that opens, enter the e-mail address of the recipient in the To field (for example, your own e-mail address).
  3. Click Send.

Note: Microsoft Outlook opens, and a new e-mail is created with the selected document file as an attachment. Note the document data that is inserted in the e-mail.

  1. Edit the mail message and enter some more text if you want. Then click Send in Microsoft Outlook.

Result: If you sent the e-mail to yourself, it should be available in your inbox.
