Tips and Tricks for
Search For And Use Document

Below is a list of tips and tricks for the Search For And Use Document course. Click one of the items below to see information that may be helpful to you as you take the course.

Contents Search

IFS Document Management supports searches for document contents. However, the functionality requires an index server to be installed. For more details on how to install an index server, refer to the release notes of IFS Document Management.

File Server

When document files are checked into the document management system, they are stored on a file server. This file server must be installed separately—it is not part of the IFS Document Management installation script. It is strongly recommended that an FTP repository be used for highest security. Path, user ID, and password to the FTP repository are then entered as basic data in IFS Document Management, hence the connection between the file server and the application.

E-mail Notifications and Event Server

When sending out a document for approval or when distributing a document, you can notify the recipient or recipients by e-mail. To be able to do so, you need to:

  1. Install an event server.
  2. Install the .ifm files that are part of the release.
  3. Define the user's e-mail address(es), both in the Person window in Iand in Create User window in  the IFS Admin tool.

More information about the event server can be found in the release notes.
