Main Exercise

Purpose: The purpose of this lesson is to demonstrate how to manage users.

Windows:
Icon list/Users

Add a New User

  1. Click Users on the icon list.
  2. Click New Ctrl+N on the top of right pane. You can also select New on the Edit menu.
  3. Enter user identification. (The User ID must be unique and may NOT be changed later.)
  4. Enter the IFS Applications user in the IFS User Identification field.
  5. In the User Role list, select User as the role.
  6. Enter user name in the Last Name field and as much information as possible about the user.
  7. Click OK when finished.

Note: If you plan to apply restrictions, you may want to fill in Region and Department fields on the right pane,  since these properties can be used as exception rules.

Edit User Properties

  1. Click Users on the icon list and select the user whose properties you want to edit.
  2. On the right pane, edit the required properties.
  3. Click anywhere outside the right pane to save your changes.

Transfer a User’s Private Selections and Views to Another User

  1. Click Users on the icon list.
  2. In the left pane, select the user ID from which you want to transfer selections and views.
  3. Select Transfer Selections and Views on the Edit menu or right-click to select the option.
  4. Select Contacts {user} as the group for the selections and views from which you want to transfer the information to a new user.

Note 1: You must choose a group to be able to transfer the information.

Note 2: The window shows the owner of the selections and views that are displayed in the left pane.

  1. Select the above created user ID to which you want to transfer the information.
  2. Click Transfer To.
  3. Click OK.
  4. Click Undo to undo your previous action.

Note: It is the whole group with the connected selections that are transferred. You cannot transfer single selections from a group.

Transfer Accounts to Another User

  1. Click Users on the icon list.
  2. Select the User ID in the left pane from which you want to transfer information.
  3. Select Transfer accounts on the Edit menu or right-click and select it.
  4. Select the account or accounts from which you want to transfer information to the new user.
  5. Select the above created user as the user ID to which you want to transfer the information.
  6. Click Transfer To.
  7. Click OK.

Note: Use this function carefully since all the logged information connected to the user ID from which you transfer will be deleted when you transfer the accounts to a new user.

Mark User as Inactive

  1. Click Users on the icon list.
  2. Mark the user you want to inactivate.
  3. Select No in the Active field on the right pane.
  4. Click anywhere outside the right pane to activate the changes.

Delete a User

  1. Click Users on the icon list and select To be deleted as the user.
  2. Click Delete on the right pane or right-click and click Delete.
  3. Click Yes on the confirmation message that appears.
