Basic Data Setup

Work Categories and Regions

Purpose: The purpose of this exercise is to set up the basic data required for running this particular functionality.

  1. Enter a new work category, starting with your initials.
  2. Save the information.
  3. Enter a new region, starting with your initials.
  4. Save the information.

Competency Profile Specification

Purpose: The purpose of this exercise is to show how to enter a competency profile.

General exercises for Recruitment

Main Exercises

Purpose: The purpose of these exercises is to guide you through the basic recruitment process: create a personnel requisition, register applications, and nominate and appoint candidates.

Job Specification

Prepare Personnel Requisition

  1. Open the Personnel Requisition window and create a new record.
  2. Indicate that you need to recruit an HR officer. Also indicate whether you need more than one and whether you prefer external or internal candidates.

Note: You can view the job specification for Human Resources Officer in the Job Specification window.

  1. Enter the earliest and latest date to advertise the job and the reason why you need to recruit.
  2. Enter the work category, region, and work location.
  3. Enter  a name of the responsible recruitment officer.
  4. If you have any further requirements, you can enter them in the lowest field, i.e., Miscellaneous Spec.
  5. Save and confirm the requisition by clicking Yes in the dialog box.
  6. Change the status to Approved by right-clicking, and note your personnel requisition number. The status has to be changed, or you would not be able to continue the process.

Receive Application Letter

  1. Open the Applicant window and enter a new applicant.
  2. Enter information in the Personal Info, Contact Address, Applied Requisitions, Areas of Interest, Competencies, Education, Licenses, Work Experience, References and Training and Seminar History tabs. 
  3. Save the information.

Note: In this lesson, you do not connect the applicant to a specific requisition and job opportunity. Refer to the Register Applicants and Candidates lesson.

Nominate Job Candidates

  1. Open the Personnel Requisition window and select your personnel requisition.
  2. Open the Job Candidates tab and, enter your external applicant by using the List of Values.
  3. Save the information.

Appoint External Candidate

  1. Open the Personnel Requisition window and select your requisition.
  2. Open the Job Candidates tab and select one of your external candidates. Then right-click and click Appoint Candidate.
  3. In the dialog box, indicate the employment type and change the starting and ending date, if necessary. Click OK. Do not accept to enter data in the Employee window.
