Basic Data Setup

Create Project 

Purpose: The purpose of this exercise is to enter a new project.

Windows:
Projects

  1. Open the Projects window. 
  2. Create a new record (F5) to enter your project. 
  3. Enter values in the Project ID, Project Name, and Description fields.
  4. Connect the project to company 10 (enter "10" in the Company field). 
  5. Enter your user as project manager in the Manager field. 
  6. Enter a customer in the Customer ID field. Use the List of Values to view available customers. Choose one of the car companies as your customer.
  7. This is all we need to enter at this stage, so save the information.
  8. When you are satisfied with the project, approve it. Select the row with your project, right-click, point to Status, and then click Approve
  9. When you approve the project, you will get a window asking you to choose a project group. Choose a project group from the List of Values and click OK. This will create a corresponding financial project as long as you are using IFS/General Ledger.
  10. Change the status to Started in the same way as in step 8. 

Create Subproject

Purpose: The purpose of this exercise is to add a subproject to the project structure.

Windows:
Project Info/Subproject

  1. Open the Project Info window. 
  2. Query for your project. As an alternative, you can go to the Projects window, then right-click and click Project Info.
  3. On the Subproject tab of the Project Info window, put the cursor in the Subproject ID field and create a new record. Enter an ID for the subproject. Also enter a description in the Description field. 
  4. Save the information.
  5. If the subproject does not appear in the navigation bar to the left, select the project in the navigation bar, then right-click and click Refresh Node.

Create Activity

Purpose: The purpose of this exercise is to add an activity to the project structure.

Windows:

  1. Open the Project Info window. 
  2. Select your subproject in the navigation bar to the left  and click the Activity List tab.
  3. Create a new record and enter values in the Activity ID and Activity Description fields. If you like, you can also enter a short same. If you decide not to do so, a short name will be automatically created when you save.
  4. Enter values in the Early Start and Early Finish fields. This is the planned validity date interval of the activity.
  5. This is all that is needed at this stage. Save the information.
  6. To be able to report on an activity, it needs to be released. To release it, right-click, point to Status, and then click Release

Purpose: The purpose of this exercise is to enter some report codes of different types.

Purpose: The purpose of this exercise is to connect report codes to the project so you can report on the project.

Main Exercise

Register Project Time 

Purpose: The purpose of this exercise is to register time for an employee.

Windows:

Project Transactions

  1. Open the Project Time Registration window.
  2. On the Week tab, enter some time for your new project.
  3. Click the Day tab, and add some comments and your price adjustment on some of the rows.
  4. Confirm your week.
  5. Try to change reported hours.
  6. Verify the resulting project transactions shown in the Project Transactions window. Among other things, verify that the pricing is correct.

Register Cost for a Project

Purpose: The purpose of this exercise is to register cost for a project.

Windows:
Project Cost Registration/Personal

  1. Open the Project Cost Registration window. 
  2. Create a new record on the Personal tab (F5). The employee connected to the current user will automatically be entered in the Emp No and Employee Name fields.  
  3. Tab to the Short Name field. Enter the short name for the desired activity, using the List of Values (F8) to look at available short names.
  4. Tab to the Report Code field, open the List of Values (F8) and select a report code. 
  5. Enter "1" for internal quantity. The same amount will automatically be entered as the sales quantity.
  6. Enter an internal price and a sales price.
  7. Save the information (F12).
