Alternate Purchase Part—Basic Data and Requirements Exercises

IMPORTANT
It is extremely important that you set up and work within your own site to maintain you data integrity. If you work within any other site, you will compromise your own exercise data as well as the data of other students. Predictable exercise results require that your data be isolated in your own site.

Basic Data Setup

Entering Purchase Parts

Purpose: The purpose of this exercise is to enter three purchase parts at the same site. One part will subsequently be used as the primary purchase part, the other two as alternate purchase parts.

Windows:
Purchase Part

  1. Open the Purchase Part window and create a new record.
  2. Enter a part with part number XX-58-100 (replacing XX with your initials) and the description Racing Wheels.
  3. Specify yourself as the buyer in the Buyer ID field.
  4. Connect the purchase part to a purchase group by selecting the purchase group for racing tires (20) from the list in the Purchase Group field.
  5. Save the record.
  6. Create a new record.
  7. Enter a part with part number XX-58-200 (replacing XX with your initials) and the description Racing Wheels (Alternate).
  8. Specify yourself as the buyer in the Buyer ID field.
  9. Connect the purchase part to a purchase group by selecting the purchase group for racing tires (20) from the list in the Purchase Group field.
  10. Save the record.
  11. Create a new record.
  12. Enter a part with part number XX-58-300 (replacing XX with your initials) and the description Racing Wheels (Alternate).
  13. Specify yourself as the buyer in the Buyer ID field.
  14. Connect the purchase part to a purchase group by selecting the purchase group for racing tires (20) from the list in the Purchase Group field.
  15. Save the record.

Setting up Alternate Part

Purpose: The purpose of this exercise is to define one part as an alternate to another part.

Windows:
Part

  1. Open the Part window and query for the first part you entered in the above exercise.
  2. Click the Alternate Parts tab and create a new record.
  3. In the Alternate Part No field, enter the second part you created in the above exercise or select it from the List of Values.
  4. Leave the Fully Interchangeable check box selected. It indicates that the relationship between the alternate part and primary part is mutual, i.e., that the primary part can also be used as an alternate to the part entered on the Alternate Parts tab.
  5. Save the record.

Main Exercises

Purpose: The purpose of these exercises is to define two alternate purchase parts for one purchase part.

Copying a Part from the Part Catalog

  1. Open the Alternate Purchase Part Base Data window and create a new record.
  2. In the Part No field, query for the first part you entered in the first exercise (part no. XX-58-100).
  3. Right-click and then click Copy Alternate Parts. The Copy Alternate Parts dialog box appears.
  4. The Part Number field shows the primary part. Click OK to copy all parts that have been defined as allowable alternate parts on the Alternate Parts tab of the Part window. In this case, only one part has been defined as an alternate (XX-58-200).
  5. Save the record.

Entering a Part Manually

  1. Open the Alternate Purchase Part Base Data window and create a new record.
  2. In the Part No field, query for the first part you entered in the first exercise (part no. XX-58-100).
  3. In the Alternate Part No field, enter XX-58-300 (replacing XX with your initials).
  4. Save the record.
  5. A message appears informing you that the alternate has not been established as a substitute to the selected purchase part and asking you whether you want to continue. Click Yes. The system creates a record that connects this new alternate part to the purchase part on the Alternate Parts tab of the Part window.
  6. Save the record.
  7. Open the Part window and click the Alternate Parts tab. Part no. XX-58-300 is now shown as an alternate to part no. XX-58-100.
