Basic Data Setup

Authority

Purpose: The purpose of this exercise is to show you how to set up authorization for viewing queries and reports in IFS/General Ledger.

  2. If your authority is not sufficient, change it, or ask your system administrator to do so.

Queries

Purpose: The purpose of this part of the lesson is to show you how to use different selections and the zoom-in function in the voucher information queries.

Voucher Information Queries

  1. Populate the GL Vouchers Analysis window. All vouchers, along with information about them, are displayed on the screen.

  2. For more detailed information about a voucher, right-click and then click Voucher Rows. The GL Voucher Rows Analysis window is displayed on the screen. You can also open this window from the Navigator.

  3. To see the highest level of details, right-click and then click Voucher Details. The GL Voucher Details Analysis window appears on the screen. You can also open this window from the Navigator.

Balance Information Queries

  1. Open the Balance Analysis window.

  2. Open the query window, and specify the year, period, account, and budget version.

  3. Click OK. The Zoom-In window is displayed on the screen. Use this window to specify how you want to present the information.

  4. The Balance Analysis window is a useful tool for quickly analyzing information in the general ledger. Use this feature to make different kinds of selections on how to view the information.

Project Information Queries

  1. Open the Projects Analysis window.

  2. Open the query window, and specify the balances.

  3. Confirm this information.

  4. In the Zoom-In window, specify how to display the balances. Confirm the information. The balance information is displayed on the screen.

  5. Select one or more rows, and if appropriate, use the Voucher Information operation.

Note: This query performs a function similar to that of the balance-analysis query.

Required Data

Create GL Voucher

Purpose: The purpose of this exercise is to enter a manual voucher and to update it to the General Ledger so that it will be available for cancellation in the Cancel Manual GL Voucher exercise.

Windows:
Voucher Entry

  1. Open the Voucher Entry window and create a new record.

  2. Enter 2009-06-08 in the Voucher Date field.

  3. Select M from the List of Values for the Voucher Type field.

  4. Create a new record in the Voucher Postings tab. Enter 3011 in the Account field and 1000 in the Credit Amount field.

  5. Create another new record. Enter 1510 in the Account field and 1000 in the Debit Amount field.

  6. Save the voucher.

  7. Right-click in the background of the window and click Instant Update General Ledger. The Instant Update dialog box will open. Make sure that the voucher you saved is selected and click OK.

Main Exercises

Cancel Manual GL Voucher

Purpose: The purpose of this exercise is to show how to cancel a voucher that has been updated to the General Ledger

  1. Open the GL Vouchers Analysis window.

  2. Query for the voucher number of the voucher you created in the Create GL Voucher exercise.

  3. Select the voucher row, right-click and then click Cancel Manual GL Voucher.

  4. Select the Original Voucher Date option and click OK. The Cancellation Vouchers dialog box will open and the voucher number of the new cancellation voucher to be created will be displayed in it. Note the cancellation voucher number.

  5. Click OK to proceed with the cancellation.

  6. Query for the voucher you cancelled in the GL Vouchers Analysis window. Note that the Voucher Type Reference, Voucher  No Reference, and Accounting Year Reference fields display the voucher type, voucher number and the accounting year of the cancellation voucher created.

View Cancellation Voucher

Purpose: The purpose of this exercise is to view the cancellation voucher that was created in the Cancel Manual GL Voucher exercise.

  1. Open the Vouchers Analysis window.

  2. Query for the voucher you created in the Cancel Manual GL Voucher exercise.

Reports

Purpose: The purpose of this part of the lesson is to show you how to use the standard reports in IFS/General Ledger.

General Ledger/Reports

General Ledger Report

This report is a list of the accounts that contain financial transactions for a period interval or date interval. The information is printed according to the criteria that you specified.

Voucher Detail Report

This report shows voucher information from the general ledger and you can also order the report so that you can se the balance type simulation. The voucher information is printed according to the selection of data that you specify.

General Ledger Transaction Report

The report is printed according to the voucher types for a period interval or a date interval. The information is printed according to the criteria that you specified. For example, you can decide whether the report will be a summarized or detailed printout. 

Project Balance Report

This report includes information on the project groups, projects, and balances at the account level. Also, budget values can be included. The information is printed according to the criteria that you specified.

Note: Information about the budget must have been entered in IFS/General Ledger. This is valid if you want to compare the project balances with budget values. The project must have been specified in IFS/General Ledger.

Period Allocation Reconciliation Report 

Voucher Entry. The information is printed according to the criteria that you specified.

Unmatched Transactions Report

This report displays information on transactions that either are unmatched or have a matching date more recent than the requested report date. The information is printed according to the criteria that you specified.

Journal Report

This report shows transactions for voucher types, sorted by voucher date or voucher types. You can specify which accounting journal to include, whether the report is a preliminary or a final printout, whether the report should be summarized or detailed, and whether the report should use parallel currency or accounting currency.

General Ledger Accounts Report

This report displays accounts that contain financial transactions. The opening balances, all transactions within the selected period interval, and the closing balance are shown for each account selected. The report can be printed with a summarized row for the previous period and a subtotal per period. You can add page breaks between the report groups.

General Ledger Balance Report Split by Account Digit

This report displays information on the balances of accounts in the general ledger for the specified period together with the summary of the activity for the period. The report can be printed with subtotals based on the number of digits in the account number. You can print the report in the company's parallel currency.

General Ledger Report Counter Account

This report displays accounts that contain financial transactions with information about the account to which the counter posting was made. The opening balances, all transactions within the selected period interval, the accounts to which the counter postings were made and the closing balance are shown for each account selected. You can add page breaks between the report groups.

Turnover and Balance Report

This report displays turnover and balances for the general ledger. You can specify whether to include statistical accounts or not, and whether to print subtotals per account group or not.
