Basic Data Setup

Define Accounting Journal

Purpose: The purpose of this exercise is to show you how to define an accounting journal which includes all voucher types.

Windows:
Define Accounting Journals

  1. Open the Define Accounting Journals window and create a new record (F5).
  2. Enter information as per the table in the example below.
    Journal ID Description
    ALL Accounting Journal including all voucher types
  3. Save the information (F12).
  4. In the header of the window, right-click and then click Copy all Voucher Types.
  5. All voucher types except those belonging to function group YE is added to the Accounting Journal.
  6. Save the information (F12).

Create Accounting Journal

Purpose: The purpose of this exercise is to show you how to create an accounting journal which is sorted by voucher type.

Windows:
Create Accounting Journals

  1. Open the Create Accounting Journals window and create a new record (F5).
  2. Enter information as per the table in the example below.
    Accounting Year Sort By
    2005 Voucher Type
  3. Save the information (F12).
  4. Select the accounting year, right-click and then click Create Accounting Journal.
  5. In the Create Accounting Journals dialog box, enter information as per the example in the table below, and click OK.
    Accounting Year Journal ID
    2005 ALL

Main Exercises

Generate Period Information

Purpose: The purpose of this part of the lesson is to show you how to generate the information which will be printed in the journal report. 

Windows:
Accounting Journals

  1. Open the Accounting Journals window and query (F3) for the accounting year 2005.

  2. Select accounting period 1, right-click and and then click Generate Period Information.

  3. The status of the period is changed to Generated and information about First Seq Number, Last Seq Number, Total Debit and Total Credit is fetched from the voucher rows.

Note: In order to generate period information the corresponding period in the period calendar must be closed.

Print Journal Report

Purpose: The purpose of this part of the lesson is to show you how to print the Journal Report.

Windows:
Accounting Journal Report

  1. Open the Accounting Journal Report window.
  2. Enter information as per the table in the example below, and select Print.
