Enter a New Person

Create a Person

Purpose: The purpose of this exercise is to show you how to create and enter information for a new person. You can create a new person by using the Person window.

Windows:
Person

  1. Open the Person window
  2. Create a new record (F5).
  3. Enter the following information.
Person ID Person Name Protected Check box
ALONSO Alonso Selected
LEWIS Lewis Cleared

Enter General Basic Data

  1. Click the General tab.
  2. Add additional information for each person created above for fields that are empty, if desired.
  3. Save (F12).

Enter Person Address Data

  1. Click the Address tab.
  2. Add a new record in the Address Identity field by clicking New (F5) and then enter an address identity. To be able to change data in the Address field double-click in the address box.
  3. Save (F12).

Note: How the address is presented is defined in Address Presentation. You can specify which fields should be displayed and in which order.

Enter Person Communication Method Data

  1. Click the Comm. Method tab
  2. Use this tab to connect different communication methods to all addresses you have connected to a person. All communication methods entered here can also be seen in the Address tab.

 

Access to Protected Person

User Access to Protected Person Data

Purpose: The purpose of this exercise is to show you how to enter users who have access to restricted data of protected persons.

Windows:
Access to Protected Person

  1. Open the Access to Protected Person window.
  2. Add a new record by clicking New (F5) and select a user from the List of Values.
  3. Enter the following information. Save (F12).

Persons per Company

Purpose: The purpose of this lesson is to enter persons connected to a particular company.

Windows:
Persons per Company

Enter Persons per Company

  1. Open the Persons per Company window.
  2. Query for your company (F3).
  3. Click New (F5) to add a new record. Select the persons you created in the earlier exercise, from the List of Values.
  4. Save (F12).
  5. Log on to the system with your own user ID.
  6. Open the Person window and query for persons created in the earlier exercise and view details.

 

Note: If the RESTRICT_PERSON parameter in the Object Property tab of the System LU Values window is set to TRUE and if you log on to the system as a user defined for your company and with access to protected persons, you will not be able to view the restricted data of protected persons who are not defined (in the Persons Per Company window) for any of the companies to which the user has access.
