Purpose: The purpose of this exercise is to show you how to set up and use the basic data required to run the Employee Survey functionality.

Organization and Position Structures

 

In employee survey, employees and organizational information is required when linking employees as participants to a survey.

For example, you may want to do a survey for employees belonging to a particular organization or the employees assigned to a particular position in the company. You may also want only selected employees from a particular organization or position participating in the survey.

  1. In the relevant company, open the Graphical Organization Structure window.
  2. Populate to view the organization structure in the company.
  3. In the navigator, you will see the hierarchy of organization units within the company.
  4. When you select an organization unit, you can view the details of the unit, such as the valid period.
  5. In the relevant company, open the Graphical Position Structure window.
  6. Populate to view the position structure in the company.
  7. In the navigator, you can view the positions in the company placed in the structure so that the supervisor positions and subordinate positions are defined.
  8. When you select a position in the structure, you can view the general details of the position in the General tab such as the organization to which it belongs (Organizations are explained in the first 4 steps), the valid period of the position etc.
  9. When you select a position in the structure, you can go to the Assigned Employees tab to view the employees that are assigned to the position.
    Note: If an employee is assigned to a position, the employee is automatically linked to the organization to which the position belongs.

Employee Information

  1. Go to the relevant company.
  2. Open the Employee window.
  3. Populate or query to view the relevant employee's details or enter a new employee by selecting New.
  4. In the Address tab, ensure that a valid email address (default email address) is entered for the employee.
  5. View the positions assigned to the employee in the Assignments tab.
  6. In the General tab, view whether it is the master employment of the employee. If you want to set the person's employment in the selected company as the master employment, select the Master Employment check box.

Consider the example given in the table below and create alternative answer lists that can be used for survey questions.

  1. Open the Answer Options window.
  2. Give an identity to group the list of answer options you are going to define.
  3. Define the answer options.
  4. You can specify the number of answer option that can be selected from the list in the No. of Alternatives to Select field. This is the number of answer options the participant answering the question will be allowed to select from this list.
