Purpose: The purpose of these exercises is to show where and how to set up coordinator groups and coordinators.

IFS Racing has employed a new coordinator who will be responsible for all large clients. You will create a new coordinator group for that employee. You will then enter a new record for a coordinator and connect it to this coordinator group.

The coordinator for your user already exists in the database. To able to enter a coordinator, you need to select another user from the cross-reference table (click the link). Example: If your alias is racing driver ALAIN, you should enter a new record for JOAL.

Entering a Coordinator Group

  1. Open the Coordinator Groups window and create a new record (F5).
  2. Enter a value in the Coordinator Group ID field.

Note: You are limited to one character.

  1. Enter a description for the coordinator group.
  2. In the Customer Order No field, enter the starting number of the customer order number series.
  3. In the Sales Quotation No field, enter the starting number of the sales quotations number series.
  4. In the Purchase Order Prefix field, enter the prefix letter and in the Purchase Order No field, the starting number of the purchase order number series.
  5. In the Distribution Order Prefix field, enter the prefix letter and in the Distribution Order No field, the starting number of the distribution order number series.
  6. In the Distribution Allocation Prefix field, enter the prefix letter and in the Distribution Allocation No field, the starting number of the distribution allocation number series.
  7. Save your record (F12).

Entering a Coordinator

  1. On the Coordinators window, create a new record (F5).
  2. Enter the person ID by using the List of Values. For information about which person to enter, use the cross-reference table above. The name and phone number will be automatically filled in if they have been entered in the person record.
  3. Select the coordinator group, which you created above, by using the List of Values.
  4. Optionally, select the Blocked for Use check box to block the coordinator from further use.

Note: If you block a coordinator that is specified as the default value in the Sites per User window, a dialog box appears when you select the Blocked for Use check box. Specify a different coordinator to update the default coordinator ID for all users whose current default value is the one you blocked.
