Basic Data Setup

Creating an Approval Template

Purpose: The purpose of this exercise is to create an approval template that you can use for your document.

Windows:
Document Basic/Approval Template

  1. Open the Document Basic window and click the Approval Template tab.
  2. Click in the Approval Template field and create a new record.
  3. Name your approval template XXPROJ (where XX is your initials) and enter a short description (e.g. Approval of project documentation).
  4. Click in the table and create the following approval process:

  1. Save the template (F12).

Result: You have created an approval template where the first step should be reviewed and approved by at least one member of document group no. 30 (all racing personnel). The second step should be approved by Eddie, and then by Damon.

Purpose: The purpose of this lesson is to show how you can enter development status on your document revision.

Entering Planned Start and Finish

These fields maintain information about when the work is planned to start and be finished. You are now going to enter the planned start and finish for the project specification that you created earlier.

  1. Open the Document Revision window from the Navigator.

  2. Perform a query (F3) to find the Project Specification that you created earlier (e.g., by defining search criteria Document Class = 700 and Title = Project Spec%XX).

Note: By entering %XX in the search criteria, you search for a title that ends with XX. The %-sign is used like a wildcard in IFS Applications (depending on the Oracle database where the search is performed).

  1. Click the Development tab.

  2. Enter today's date in the Planned Start field.

  3. Set the Planned Finish field to a date about two months from now.

  4. Save the information (F12).

Setting Expiration Dates

Expiration dates define the number of days between the time a document is set to obsolete until the document revision expires. When the document has expired, it may be removed from the database. The Remaining Days field shows how many days are left before the document expires. The count down starts when the document is set to obsolete.

  1. Set the number of Expiration Days to 30.
  2. Save.

Note:  These fields do not affect anything in the system. You must manually delete expired documents to remove them from the system. 

Entering an Approval Template

You may want somebody to check your document during the development. This can be performed with the help of an approval template. 

  1. In the Approval Template field, select the XXPROJ template from the List of Values (where XX is your initials), and then click OK.
  2. Save.
  3. Click the Approval tab and review the approval template that you selected has been imported.
