Purpose: The purpose of this lesson is to import several document files into the IFS/Document Management archive.

File Import

This functionality is very useful when you want to import several new document files, e.g. from a CD, or from your local disc into the Document Management archive. In this case, you are going to import a group of drawings from a supplier.

Importing Document Files

  1. Create three Microsoft Word files and save them in C:/Temp.
  2. Open the File Import window from the IFS Navigator.
  3. In the Default Document Class field, select 500 (Specification) from the List of Values, and then click OK.

Note: The Default Document Class field is used when all imported files should be registered under the same class. If a default class is not used, you must enter document class for each imported file. It is also possible to use the default class and edit selected files.  

  1. On the Operations menu, point to Open File(s).
  2. Select the Word file type and browse to C:\Temp.
  3. Select the three files you created in step 1 (hold down the CTRL-key and click on the files) and click Open.
  4. Review the information inserted in the table and change it if necessary (e.g., remove FILE in the beginning of the titles).
  5. Save (F12).
  6. Select the files to import, and right-click and then click Import File(s). If the import succeeded, the Imported check box will be selected for all three files, and they are now registered and checked into IFS Document Management.

Note: You can choose NOT to import one of the files in the table (perhaps one or two files were accidentally included on the list). To remove them from the table, select the files to remove and delete.

Importing Document Files using the Drag and Drop feature

Note This option is available for web users only.

  1. Create two or more Microsoft Word files and save it in the C: drive.
  2. Open the File Import page from the IFS Navigator.
  3. Click New and enter the document class XXINSTR.
  4. Select the documents you created in your machine in the Windows Explorer window, drag and drop them in the gray area with the text To add files for import, drop them here. Click the  Import Now button.
