Course Description for 
Create And Maintain Document

This course covers the functionality of IFS/Document Management, showing you how to create new documents and document data, send documents on approval process, approve and release documents and also how to set up basic data.

The Create And Maintain Document course consists of the following chapters:

Course Length

The estimated time to complete this course is 13 hours, including the Basic Data and Requirements (BDR) lessons.

Target Audience

This course is designed primarily for frequent users who create and maintain documentation in their organizations.

Introduction

In the introduction chapter, you will learn the basic principles and key terms that are used in IFS Document Management. There is one key lesson and an initial exercise in this chapter. It is a good idea to start with this chapter when learning IFS Document Management.

Prerequisites

Before taking the lessons in this chapter, you should have completed a basic navigation course in IFS Applications.

Chapter Length

The estimated time to complete this chapter is 3/4 hours.

Target Audience

This chapter can be used by all types of Document Management users, since it is an introduction of the IFS Document Management key terms and basic functionality.

Create Document 

Here you will learn how to create a new document title and its first revision in the IFS Document Management system. The chapter consists of four key lessons and three extended lessons, each with one exercise:

Before taking the lessons in this chapter, you should have completed a basic navigation course in IFS Applications.

Chapter Length

The estimated time to complete this chapter is 2 hours.

Target Audience

This chapter was designed primarily for users who create documentation, e.g., engineers or project managers.

Document Original

Document originals are documents not stored digitally, for instance paper documents. These documents can also be registered in the IFS Document Management. This chapter explains how this is done and consist of one key lesson and exercise:

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document chapter.

Chapter Length

The estimated time to complete this chapter is 1/2 hour.

Target Audience

This chapter was designed primarily for users who will manage paper documents or documents stored in any other way than electronically.

Document Connections

A document that is registered in IFS Document Management can be connected to any other business object in IFS Applications. This chapter contains one lesson with a general description of these connections. The lesson and exercise are both regarded as extended, since you will need another IFS Application module installed apart from IFS Document Management.

Prerequisites

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document chapter. You also need another IFS Application module installed other than IFS Document Management. The business object that you want to connect to should be 'document aware'.

Chapter Length

The estimated time to complete this chapter is 3/4 hour.

Target Audience

This chapter was designed primarily for users who have other IFS components installed together with IFS Document Management.

Document Folder

Document folders can be used for grouping documents and is also a type of object connection. This chapter entails only one lesson and one exercise.

Prerequisites

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document chapter.

Chapter Length

The estimated time to complete this chapter is 1/2 hour.

Target Audience

This chapter was designed primarily for users who will administrate documentation, e.g., project managers or information managers.

Document Package

When using IFS Project together with IFS Document Management, you can create document packages consisting of project documentation. These packages make it possible to report progress on the development work of project documentation. 

The chapter consists of one extended lesson and exercise. They are regarded as extended since you normally only use these packages together with IFS Project.

Prerequisites

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document chapter. 

Chapter Length

The estimated time to complete this chapter is 1 hour.

Target Audience

This chapter was designed primarily for users who will use IFS Document Management together with IFS Project, e.g., project members who develop project documentation.

Develop Document

This chapter describes the work of editing existing documents, creating view copies, creating document templates, and how to update the development status of a document. The chapter is divided into one key lesson and three extended lessons, all with one exercise.

Prerequisites

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document chapter. 

Chapter Length

The estimated time to complete this chapter is 1 1/2 hours.

Target Audience

This chapter was designed primarily for users who update and develop documentation, e.g., engineers, project members, or project managers.

Off Site Document Development

Prerequisites

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document and Develop Document chapters.

Chapter Length

The estimated time to complete this chapter is 1 3/4 hour.

Target Audience

This chapter was designed primarily for users who are responsible for technical documentation at companies which outsource some or all of the document development.

 

Approve and Release Document

When a document has reached the desired quality level, it can be approved and released. This chapter describes the approval process, how to release a document revision, and how to create a new revision of a document. The chapter consists of three key lessons and three exercises:

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document chapter. 

Chapter Length

The estimated time to complete this chapter is 1 hour.

Target Audience

This chapter was designed primarily for users who approve and release documentation, e.g., project managers.

Structure Documents

This chapter describes how to work with complete document structures more easily using the concept of Structure Documents; rather than performing the operations manually, (e.g., connecting documents to each other, checking files in and out for each of the documents).

Prerequisites

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document and Develop Document chapters. You should know about document structures and how to create them manually, and preferably also about working with file structures in 3D-CAD and similar applications.

Chapter Length

The estimated time to complete this chapter is 1 3/4 hours.

Target Audience

This chapter was designed primarily for users who administrate technical documentation using document structures  (e.g., documents developed in 3D-CAD applications), and for those who need to maintain external references between files.

 

Document Transmittals

This chapter describes how to create document transmittals, connect them to documents, send/receive them and to manage the different statuses of the transmittals. This chapter consists of one lesson and one exercise.

Prerequisites

Before taking the lessons in this chapter, you should have completed the key lessons in the Create Document chapter and the Basic Data lesson in the Document Transmittals Basic chapter.

Chapter Length

The estimated time to complete this chapter is 1 hour.

Target Audience

This chapter was designed primarily for users who send and receive a lot of documents and need to keep track of what is sent to whom and what was received from whom.

Basic Data and Requirements

The Basic Data & Requirements (BDE) chapter describes the basic data that must be set up when working with IFS Document Management. In the extended exercises in this chapter, you will get to practice on the basic data for the more advanced functionality. There are five lessons included in this chapter:

This chapter was designed primarily for system administrators and information managers.
