Enter Budget Process

Purpose: The purpose of this lesson is to enter a budget process that will be the process within which all the budget and planning activities will take place.

Prerequisites: You need use a user with administrator budget user role, to be able to enter budget process.

Windows:

  1. Open the Budget Processes window, and create a new record.
  2. Enter the information from the table below.

  1. Save your changes.
  2. If you want to add notes to your budget process, select the budget process, right-click, and then click Notes. Enter the notes, and then save your changes. The Notes check box is now checked.
  3. If you want to add documents to your budget process, press F9, Connected Documents, and use the proper procedure.

Note: If Protected is selected for the Process, only the Administrator will be able to create new Budget Templates. Do not select Protected for this exercise. Budget Format controls how values are represented in budget entry and analyze, e.g. 1000 will mean that if 50 is entered/shown as amount it will be stored as 50 000. Budget Format can be modified at any time and will only affect how values are entered/displayed, not how they are stored.

 

Enter Budget Template 

Purpose: To enter budget templates for a budget process. A Budget Template is defined for each segment of a budget process, e.g. cost center, project or department.

Prerequisites: You need to have at least five code part values for code part C, Code Part ValuesBudget Template ID should be same as code part value

Windows:

  1. Open the Budget Template window, and create a new record. Enter the information from the table below.

  1. Save your changes.
  2. If you want to add notes to your budget template, right-click, and then click Notes. Enter the notes, and then save your changes. The Notes check box is now checked.
  3. If you want to add documents to your budget template, press F9, Connected Documents, and use the proper procedure.
  4. Right-click and select Code String Settings. For Code Parts Used In Template, select code part C. For Fixed Code String, enter the code part value selected for the template
  5. Save your changes.

Note: If you select Protected for a budget template it will only be possible for the responsible to enter values, not to add any new budget template details.

  1. Repeat the above procedure to create the following records:

  1. Query to select the Budget Template connected to code part value 1.
  2. Create a new record in the Details tab/section of Budget Template and enter the following records: Only the Budget  Administrator is able to enter the following detail information when the budget template state is in Planning.

  1. Save your changes.
  2. Right-click and select Submit.

 

Enter Budget Structure

Purpose: To enter a budget structure for the budget process. A budget structure defines the hierarchical relationship between budget templates.

Windows:

  1. Open the Budget Structure window, and create a new record. Enter the information from the table below.

  1. Save your changes.
  2. Create a new record in the Nodes tab/section of Budget Structure and enter the following records:

  1. Save your changes.
  2. If you want to add notes to your budget node, right-click, and then click Notes. Enter the notes, and then save your changes. The Notes check box is now checked.
  3. If you want to add documents to your budget node, press F9, Connected Documents, and use the proper procedure.
  4. Go to the View Budget Structure tab, select the templates in the Unassigned Templates part of the window and use drag-and-drop to put two templates under EAST and three templates under WEST.
