Save, Publish and Access Reports—Exercises

IMPORTANT
The exercise scenarios in this document uses data from the RACE version of the database released with App75 SP4 as example data.

Publish and Access Reports

Purpose: The purpose of this exercise is to show you how to publish a IFS Business Analytics report to IFS Applications.

Windows:
IFS Business Analytics/Design Mode
IFS Applications/IFS Info Services

  1. Open your report DESIGNXX.
  2. Click Publish use the same Report ID and Report Name as your Microsoft Excel file.
  3. Login to IFS Applications.
  4. Select Schedule Report in Info Services.
  5. Open the Schedule Reports window.
  6. Select your report from IFS Business Analytics folder.
  7. Right click and click New option. Here you will be asked to select parameter for Company. Select company '900' .
  8. Click Ok.
  9. In Schedule Task Assistant dialog box keep clicking Next until you come to the last screen. Refer to the figure below:



 

  1. Select E-mail the Excel File to check box and enter your e-mail address.
  2. Click Next.
  3. Click Finish.
  4. If the background job does not get executed you can right click and select Run to Run the report.
  5. Right click and click Show in Report Archive and open the report.
  6. Select your report and right click and select Show with Excel.
  7. Open your mail box and check whether you have received the report.
    Note: you cannot open the report directly through mail , you need to save the report to your local machine and then open the report.
  8. It is also possible to locate your report from Order Reports and run the report.

Save as an Microsoft Excel without IFS Business Functionality

Purpose: The purpose of this exercise is to show you how to save a report without IFS Business Analytics functionality.

Windows:
IFS Business Analytics/Designer Mode/Options

  1. Open DESIGNXX report.
  2. Click Execute.
  3. Open the Options pane and select Save Excel file without BA functionality.
  4. Click Ok.
  5. Select Microsoft Excel's Save As function and rename the report.
  6. Close the report and open again and ensure that IFS Business Analytics functionality has been removed from the report.     

Open the Report from IFS Document Management

Purpose: The purpose of this exercise is to show you how to connect a scheduled report to IFS Document Management and then open the report.

Windows:
IFS Applications/Document Titles


Note: You need to create a document number and connect that document to a specific document folder before connecting the schedule report to Document Management. This is described in step 1-3 below.

  1. Open the Document Titles window and create a new record.
  2. Enter BA in the Document Class field
  3. Enter a title in the Title field.
  4. Save the changes.
    Note: Copy your document number to be used later in this exercise.
  5. Open the Create New Report Schedule window.
  6. Select the DESIGNXX report from the list for the Report to Schedule field.
  7. Click on the Parameters tab and enter the relevant parameter values.
  8. Click on the Settings sub tab. Select the Archive the Report as a Document check box and enter the document number you copied in Step 4 in the Document No field.
  9. Click on the Schedule tab and schedule report to be executed daily at 10.00AM.
  10. Save the information.
  11. Open the Document Revision window.
  12. Query for the document number you copied in step 4 to view the document archived.
