Attendance Reporting

Manual Registration of Clockings and Results

Check which employees you shall use in this exercise. Note that three are to be used as employees in the exercise for Authorizing Time Card Information.

When you enter results directly in the Result tab in Time Card - Day, the calculation status is always set to Manual. The status flag is a signal to the supervisor that something has been manually entered or changed. 

It is important to emphasize the fact that manually entered or altered results can be removed when a day is recalculated. Notice the field "Row Protection" that will hinder this.

The only way to keep track of the manual changes after recalculation is if the system uses the History function, set up in the Admin tool. If it is set up correctly, you will be able to follow all changes made to clockings and/or results.

Authorizing Time Card Information

This exercise is supposed to be held directly after the exercise Registering In and Out Clockings. You will use the clockings and results created in that exercise for authorization.

The student may get a message saying that he or she has no right to perform the authorization. This can occur when:

The last two steps in the exercise deal with non-working days and the effect of authorization on such days. When a week is authorized, non-working days are also authorized and the calculation status is set to Blocked. The functional reason for this is to prevent unauthorized changes on days within a transferred or authorized week.

Final Attendance Reporting

This exercise is not mandatory and only supposed to be used by students that finish the other exercises early. In this exercise, the student will be able to use the skills he/she has learned during the previous exercises in Attendance Reporting.

This exercise is also closely connected to the extended exercise in Administering Employees and the Administering Schedules and Rules exercise. The thought is that the exercises combined should give students the opportunity to complete the entire flow in IFS/Time & Attendance, including the maintenance of the organization and positions structures, employee administration and schedules and rules handling.

Operating Time Clock

For students that will use Time Clock to report time but not be involved with setting up data, disregard the Basic Data Setup section in the exercise. Simply use the existing training data. 

The students may experience problems when making in and out clocking if not enough time elapses between the clockings. 

In the Time Clock Terminals window there is a "Time Zone Offset" field you can use to set the clock. This way you can simulate relevant in- and out-clocking. You have to re-start the Time Clock client after altering the time zone offset information.
