Basic Data Setup

Creating Project Structure

Purpose: The purpose of this exercise is to show you how to create your project and then to add a subproject and activity to it.

  1. Create a project with the following details.
Project ID Company
X 10
  1. Add a subproject, with Sub Project ID Y.
  2. Add an activity, with Activity ID Z.

Purpose: The purpose of this exercise is to show you how to define project cost elements.

  1. Define project cost revenue elements: Material, Work, Miscellaneous and Hours.

Main Exercise

Purpose: The purpose of this lesson is to set up project related basic data which will link the information entered by you in IFS/Asset Design with that in IFS/Project. You will do this by setting up a user default project and activity, creating a milestone template and mapping project cost elements to design object planned cost fields.

Default Cost Elements

Defining a User Default Project and Activity

  1. Open the User Settings dialog box.
  2. In the Default Project ID field, click List and select the project with Project ID X.
  3. In the Default Activity Sequence field, click List and select the activity sequence for the activity with Activity ID Z.
  4. Click OK.
  5. Create a new design object on the Design Object window. Observe that on the Project tab, the Project ID is X and the Activity ID is Z.

Creating a Milestone Template

  1. Open the Milestone Template window.
  2. Click New.
  3. In the Milestone Template field, enter 30.
  4. In the Description field, enter General Design Object Progress Template.
  5. Click Save.
  6. Click New on the lower table of the window.
  7. In the Milestone Number field, enter 10.
  8. In the Description field enter Initial Milestone for General Progress.
  9. In the Cumulative Progress % field, enter 0.
  10. In the Cumulative Duration % field, enter 0.

    Note:
    A value appears automatically in the Relative Progress field and is calculated by the system.
     
  11. Repeat steps 2-10 by entering or selecting, where applicable, the following information:

  1. Click Save.

Defining Default Cost Elements

  1. Open the Project Connections window and observe that the planned cost field names are Default Material Cost, Default Work Cost, Default Misc Cost and Default Hours.
  2. Open the Default Cost Elements window.
  3. Click New.
  4. In the Company field, enter the company 10. Note: using % will apply the settings for all registered companies. 
  5. In the Cost Element for Material Cost field, use the List of Values to select the Materials project cost element.
  6. In the Cost Element for Work Cost field, use the List of Values to select the Work project cost element.
  7. In the Cost Element for Misc Cost field, use the List of Values to select the Miscellaneous project cost element.
  8. Similarly in the Cost Element for Hours field, use the List of Values to select the Hours project cost element.
  9. Click Save.
  10. Open the Project Connections window and observe that the planned cost field names are now Materials (Cost), Work (Cost), Miscellaneous (Cost) and Hours (Hours).
