Service Quotation

Most Maintenance Repair and Overhaul (MRO) organizations are approached by operators of equipment to provide quotations or estimates on specific maintenance activities in order for the operator/customer to evaluate the cost of the maintenance requirements prior to placing a firm order for work to be performed. The work can span from large jobs on complex equipment such as aircraft down to overhaul of simple components.

Since the same organization can take on several different types of maintenance work, the Service Quotation functionality provides one uniform way of creating and managing quotations for all this work, and also to be able to combine different levels of work on different types of equipment on the same quotation.

Non-inventory sales parts must be connected to services. A single sales part can represent several services but multiple sales parts cannot be connected to the same service. Sales parts can be connected to general services such as emergent work, condition based tasks, LLP replacements, faults and post maintenance checks and also to maintenance codes and modification tasks.

Rejection reasons should be created so that they can be selected when a service quotation is rejected.

Enter Service Quotation

A quotation should be generated for each package of work defined for a potential customer so that the organization can sell its available capacity. Firstly, create the header of the quotation, next define who the quotation is prepared for, and finally enter the time period for which the quotation is valid. A quotation header can either be created directly in the Service Quotation window, or through a user action from existing work scope definitions such as maintenance orders.

The customer defined on the service quotation is the paying customer, i.e., the party with whom the organization has a financial agreement. However, it is possible to change the customer on the work order if some parts of the work should be invoiced to another party.

It is also possible to define a risk percentage to be used in some circumstances, for instance a type of job that has not been performed before, or where there might exist other uncertainties for the quoted work. This will help the maintenance organization provide correct quotations based on their cost levels and agreed or calculated markups as well as known factors such as non routine work.

Manage Service Quotation

Once a service quotation with connected services is available, it is possible to define a price agreement on the quotation and to calculate the quotation cost and quoted price. Calculating the quotation cost includes summarizing the man-hours, materials and tools and facilities from all connected orders, translating the orders into sales parts and retrieving the sales prices for the sales parts, either from the defined customer agreements or the sales part base price from the site for which the order is defined.

Next, the quotation can be released and accepted or rejected. A new revision can be created when you need to update the work scope of a service quotation that has already been released. If necessary, an order acknowledgement letter for the quotation can be printed.
