Reserve Customer Order, Batch Per Site
Explanation
You can reserve parts automatically in four ways: line-by-line,
order-by-order, shipment-by-shipment, or via a batch job, which is most suitable when you want to
reserve many lines at the same time. The order-by order reservation is performed in the
Reserve Customer Orders window. The line-by-line
reservation is performed in the
Reserve Customer Order Lines window. The
shipment-by-shipment reservation is performed in the different shipment windows.
Use this activity to reserve many order lines as a
batch per site. All customer order lines containing
unreserved material are taken into consideration. When reserving automatically, it will try to reserve the ordered quantity
from the inventory location with the earliest expiration date or the earliest receipt
date.
If the quantity of an order line is connected to a
shipment, the reservation is done per order line and shipment. If the quantity
is connected to several shipments, the oldest shipment will be reserved first.
The quantities connected to shipments are reserved before any remaining quantity not
connected to any shipment is reserved.
The Default feature enables you to use the default settings. Default
settings are derived from the Database Tasks window set by the
administrator.
If you no longer want to
pick and deliver the entire reserved quantity, it is possible
to change this in the Manual Reservations for Customer Order Line
window. For
single handled parts, query for the order in question and enter the required quantity in the Qty
Reserved field in the lower part of the window. Save, and the
quantity you do not want to pick is no longer reserved. For pallet handled parts, query for the order in question, select the
Pallet tab and select the check box in the Reserved field. Save when completed.
Prerequisites
- The customer order header and at least one order line must have been entered and
released, unless the reservation is performed in the
Manual Reservations for Customer Order Line window. If so, no picking list
can be created.
- The parts must be available in stock.
- If you want to reserve customer order rental lines,
parts with rental ownerships must be available in inventory.
- If the customer order is created for the delivery of an
exchange component or a repair part and a serial number and/or lot/batch
number has
been defined on the purchasing side, that specific serial and/or lot/batch must be available in stock.
- If you want to reserve parts from project inventory, the customer order
line must have been connected to a project.
System Effects
- The stored sales parts will be automatically reserved for
the customer orders and shipments with
appropriate planned ship dates.
- For rental lines, parts with the same ownership as
on the rental line will be reserved.
- If you have scheduled the task as a background job,
the task will be automatically performed based on the specified selection
criteria.
- If the Reserve all the lines in CO check box
has been selected in the Additional Parameters dialog box, and
if at least one line of an order satisfies the entered parameters, then all
the other lines in the customer order
will get reserved. The due date and other parameters will not be considered
when selecting other lines for reservation. The order lines in that customer
order will be kept as one unit.
- A shortage will occur when the full quantity cannot
be reserved for the order line.
- The system will check whether the customer has exceeded his or her credit limit.
- The system will check whether all connected
advance invoices are fully paid.
- The system will check whether partial reservations are allowed for the customer
and reservations will be done according to the
backorder option selected on the customer order.
- The system will not handle expired parts.
- Once a non-inventory part has been reserved, the system will regard it as ready to be
delivered.

When the availability is not sufficient and backorders are allowed with the
option Allow Partial Deliveries of Lines and Incomplete Package, a fair share
allocation of the quantity is performed, to distribute the quantity in a fair
way. First it tries to satisfy the demands of partially delivered orders. If the
quantity is still available, the system then tries to reserve the material
starting with order lines with a passed due date (the older the due date the
higher the priority). If the quantity is still available, subsequent reservations are
made according to quantity proportions and customer priority (priority 1 is
higher than 2, etc). All orders are reserved such that the order with the
earliest planned ship date is reserved first.

For order lines connected to a shipment, the next event in
the shipment flow will be triggered if the shipment type allows this. When
reserving with this activity, any optional events, defined to be executed at
reservation in the shipment flow, will not be triggered.

Procedure
You can either create a customer order reservation directly (procedure
A),
or schedule the task as a background job (procedure B).
A. To perform the customer order reservation
directly:
- Open the
Create Customer Order Reservations dialog
box.
- The value of the Due Date field can be changed
if necessary.
- Enter a value in the Site field, or click List to select
a value from the List of Values.
- Click Advanced to enter additional parameters.
- Select the Reserve all the lines in CO
check box to reserve all the lines in a particular customer order that has an
order line satisfying the criteria.
- Click OK.
Note: Click Default if you want to use
the default settings.
B. To schedule the customer order reservation as a background job:

Click Schedule to open the New Database Task Schedule
window. Set the scheduling parameters as desired and save. Scheduled tasks
can be seen in Scheduled Database Tasks window.
